We currently have an exciting opportunity for an Administrative Assistant II with WesDyne International LLC at our Waltz Mill site in Madison, PA.

An Administrative Assistant II would expect to be responsible for the following:

•Perform administrative tasks such as calendar management, taking meeting minutes, fielding calls, preparing correspondence, maintaining and establishing files, processing paperwork, maintaining records, and arranging complex travel.
•Outline and complete duties for department(s) where planning and execution may have site wide impact.
•Prepare and proofread letters, memos, documents, forms, presentation reports, telephone listings, directories and other forms of communication to meet business needs.
•Develop and maintain department(s) filing systems, ensure files are current and meet department(s) contractual and legal requirements.
•Relieve assigned personnel of as much routine administrative work as possible.
•Coordinate with internal and external management-level staff to accomplish moderately complex activities, such as scheduling, developing agendas or programs for group meetings or events.
•Apply proficient knowledge of policies and procedures of assigned department(s) and Westinghouse.
•Develop, implement, and manage department office functions by keeping up with current methods, procedures, and activities.
•Communicate effectively to relevant personnel via oral, written and visual media using the necessary equipment as required.
•Interface with management/employees at all levels with an attitude of conviction to quality, efficiency, and courtesy in accomplishing every task or question presented.
•Reply to correspondence not requiring the manager's personal attention which at times will require searching policies and work directions and understanding the technical language of the activity to provide correct reply.
•Communicate with other administrative personnel within the organization on appropriate procedures and deadlines. Occasionally guide and assist employees on special projects.
•Research and create presentations, generate reports, handle multiple projects, prepare and monitor invoices and expense reports, and perform other miscellaneous administrative duties as assigned.
•Research and summarize information with supporting data in preparation for meetings, work projects, reports and budgets.
•Research and compile information for quarterly and annual reports, departmental projects or company task forces, where information must be gathered and compiled from a variety of sources. Maintain confidential records and reports.
•Perform some higher level administrative duties as required by management.
•Coordinate projects between departments and follow through with set priorities in order to accomplish work.
•Apply knowledge of principles and processes of providing customer service.

Job Requirements
Required: High school graduate or the recognized equivalent.
Preferred: Associate degree in business or equivalent.

Five years administrative experience or two years at Administrative Assistant II position at Westinghouse facility.

•Demonstrated knowledge of Microsoft© Office and other computer skills.
•Must be able to type 60 words per minute (net). 
•Demonstrated initiative in performing duties.
•Demonstrated proficiency in internet navigation for information and data gathering.
•Strong communication skills (written and oral), ability to deliver message concisely.
•Strong results orientation indicated by efficiency, accuracy and time management.
•High level interpersonal skills, poise, tact and diplomacy required to handle sensitive and stressful situations.
•Learn quickly and adapt easily to changing technology and circumstances.
•Work independently or in a team on special, nonrecurring or ongoing projects.
