Basic Function:
Provides office administrative assistance and executes routine secretarial assignments.
Duties, Responsibilities & Accountabilities
Adhere to Safety procedure and policies in accordance with safety management system, Including:
  1. Active participation and contribution to specific safety initiatives in meetings.
  2. Report all hazardous and unsafe acts.
  3. Actively promote positive safety culture.
Adhere to quality procedure and policies in accordance with the ISO9002 (where applicable) quality assurance system, Including:
  1. Compliance to work instructions.
  2. Raising corrective actions for all non-conformances.
  3. Identifying areas requiring improvement and / or audit.
Adhere to main job responsibilities:
  • Distributes and/or processes outgoing and incoming correspondence for the Manager.
  • Receives, classifies, makes copies of correspondence and routes incoming mail to the proper addressee(s).
  • Handles delivery/mailing of the outgoing correspondences.
  • Locates and attaches appropriate file to correspondence to be answered by Management.
  • Files, logs correspondence and acts as custodian for documents and records.
  • Receives visitors, ascertains nature of business, informs the concerned employee(s) and conducts or directs visitors to the appropriate destination
  • Answers telephone, takes messages, or routes calls to appropriate individuals.
  • Transmits information or documents, using computer, scanner, mail, or facsimile as needed.
  • Monitors, updates employees traveling schedules and arrange booking/reservations of flight tickets and ensures compliance to company traveling policies.
  • Compiles reports and information required by management and may compile utilities and activities reports for management when needed.
  • Records and distributes minutes of Management, Operational and Staff meetings, follows-up and updates accomplishment of actions taken with the responsible person(s).
  • Orders and dispenses office supplies.
  • Coordinates organizing business functions such as seminars, conferences and confers with management on contemplated special events, sends invitations and handles venues booking and arrangements in the most economical manner available.
  • Coordinates Obtaining the necessary entry visas for staff members who are traveling abroad
  • Provides general clerical support.
  • Work assignments carried out to the highest quality level.
  • Must understand and comply with all safety rules and company policies of Weatherford.
  • Performs various other duties assigned by the management within the physical constraint of the job.
