Tradeshow Coordinator/Manager - Hybrid

Primary Purpose: Responsible for coordinating and organizing all company-attended trade shows. This role oversees the tradeshow management process and team, ensuring successful planning, execution, and follow-up. In addition, the position provides administrative support to the VP of Sales, CR Sales team, and others as needed.
Major Tasks and Responsibilities:
1) Coordinate company attended trade shows, including trade show & booth set up, sponsorships, speaking spots, registrations, picklists.
2) Make travel and lodging arrangements for staff attending trade shows or off-site meetings or events.
3) Coordinate off-site meetings including venue, food and drink, travel, lodging.
4) Assist other members of tradeshow team as needed.
5) Maintain company, state association, and other memberships.
6) Monitor and handle emails sent to the tradeshow group.
7) Work with Marketing to ensure all ad deadlines met for trade show brochures, sponsorships, booths
8) Update show picklists in time to be approved and gather and ship items in a timely manner. Keep up with what’s current inventory for flyers, booth and promo items.
9) Help coordinate customer training events and employee training events.
10) Work with Association Executive Directors and show contacts in a positive and professional manner to coordinate shows.
11) Assist with special projects including event planning and coordination, internal parties, trainings, meetings and other events as needed.
12) Communicate effectively and timely with management, coworkers, and external customers.
13) Keep excellent and timely records of shows and events, including keeping the wiki updated for others and also maintaining complete files and records for each show/event.
14) Maintain and keep updated, the Tradeshow Navigation process document and other process documents such as Inventory Management (cycle counts), Business Meeting (off-site and on-site) process document, Picklist Review and Update process doc, etc.
15) Maintain a record of SkyMiles, membership numbers and accounts for travelling employees, research new locations/destinations, keep track of cancellations, airline policies, and other information.
16) Maintain the calendar for CEO and VP of Sales as requested.
17) Attend and coordinate team meetings as needed.
18) Take initiative to learn and expand role.
19) Document reimbursements, as requested.
20) Perform miscellaneous errands and activities as required.
21) Oversee Tradeshow management. Attend weekly meetings with Tradeshow employee(s) to keep informed of Tradeshow status.
22) Manage employees as needed, make sure employees are keeping up with responsibilities and tradeshow arrangements are being completed timely, completely and professionally.
23) Perform other tasks and have such other responsibilities as assigned by Car-Part from time to time. This may include assisting with various departments such as support, admin, HR, as time allows and also may include assisting with World Tours and Roundtables.

College degree but not required
