Job Description
Title: Startup Program Operations Coordinator
Location: San Francisco - onsite 2 days/week
Duration: 6+ month contract, 40 hrs/week
Target Start: 2/24
Compensation: $125/hr (W2)
About the Role
We're seeking a highly organized, execution-focused Startup Program Operations Coordinator to own day-to-day operations for a high-volume startup and VC engagement program. This is a hands-on individual contributor role responsible for planning, executing, and scaling a wide range of events — from founder days and executive dinners to global summits and conference activations. You'll partner closely with the Hiring Manager and cross-functional teams to ensure new initiatives are executed flawlessly while building repeatable processes to support rapid growth.
Responsibilities
Program & Event Execution
- Plan and execute a high volume of startup-focused events including:
- VC Founder Days (2/month, 100+ attendees)
- Executive founder dinners (20-person VIP events)
- Hackathons, happy hours, and builder-focused activations
- Global Builder Summits (SF, London, Tokyo, Bangalore, Stockholm, Singapore, Berlin)
- Conference activations (Developer Week, Google Next, RSA, AWS re:Invent, tech weeks)
- Customer Advisory Board (CAB) meetings (Spring & Fall)
- Own end-to-end logistics: venue sourcing, catering, AV, registration, coordination, and on-site management
- Build and maintain a detailed calendar of all programs and initiatives
Event Technology & Marketing Ops
- Set up and manage events in Swoogo (or similar platforms), including registration and check-in
- Create and manage Salesforce campaigns with accurate attribution and reporting
- Build HubSpot forms, workflows, landing pages, and email campaigns
- Manage lead capture and data flow between event platforms and CRM
- Support ABM activations for top strategic accounts
Partner, Vendor & Stakeholder Management
- Coordinate logistics with VC partners
- Source and negotiate venues and vendors (catering, AV, production, swag)
- Manage logistics and executive travel as needed
- Partner closely with Startup Partnerships, Field Marketing, Events, and Sales (AEs)
Post-Event & Reporting
- Execute post-event lead triage and sales handoff within 48 hours
- Create attendance reports, engagement insights, and pipeline impact summaries
- Track pipeline influence and ROI from startup programs
Process & Scale
- Develop event playbooks and repeatable workflows
- Identify automation opportunities to improve speed and efficiency
- Document best practices and support cross-functional enablement
Scope & Expectations
- Volume: 20–30 events per quarter
- Event Size: 20-person executive dinners to 500+ attendee conferences
- Audience: Startup founders, CTOs, engineers, and VC partners
- Communication: Slack-based, responsive during business hours
Must-Have Qualifications
- 5–10 years of experience executing B2B events (field marketing, executive dinners, conferences)
- Proven hands-on IC
- Experience managing high-volume event programs (50+ events/year)
- Strong venue sourcing, vendor negotiation, and on-site execution skills
- Experience with event platforms (Swoogo, Splash, or similar)
- Proficiency in Salesforce and HubSpot (campaigns, reporting, landing pages, email)
- Strong understanding of email marketing, segmentation, and lead management
- Familiarity with ABM programs and startup / VC ecosystems
- Background in B2B SaaS, AI, or tech (startup or VC experience required)
- Experience using AI tools
- Bachelor's degree
- Highly detail-oriented, self-directed, and comfortable working against tight deadlines
Nice to Have (not required)
- Experience with Cvent
- Familiarity with Clay, Iterable, Segment, or similar martech tools
- Experience supporting developer or technical founder events
- Experience coordinating global events across multiple time zones
- Familiarity with enterprise sales motions and ABM strategy
