SPD Assistant Project Manager | High End Residential GC

The Special Projects Division (SPD) operates on the principle of superb customer service combined with operation excellence.
The SPD Assistant Project Manager (APM) supports the SPD Project Manager and the Site Super/Foreman. As a Team, they complete an array of projects ranging from repairs, maintenance, and warranty, to small and medium sized remodels.
The SPD APM participates in each project from initial pricing until its completion. Their essential function is to support the SPD PM and the Site Super/Foreman by facilitating continuity of knowledge, communication, and documentation between
Client, superintendent, architect, engineers, agencies, subcontractors, suppliers, and MatPels accounting department.
Main Responsibilities
Project Estimating
- Help identify phases or detail requirements of the project that may be potential problems.
- Prepare initial estimate with Site Super/Foreman input.
- Generate and distribute sub walk invitations.
- Generate initial project schedule with Site Super/Foreman input.
Project Set-Up
- Generate Service Agreement document for SPD PM review before submitting for Client signature.
- Complete Job Set Up sheet and submit to accounting for project number (if one does not already exist).
- Review final budget with SPD PM and Site Super/Foreman.
- Confirm all subcontracts and schedule subs.
- Update schedule prior to project start.
- Be familiar with all phases and terms of the estimate and subcontracts.
- Attend site walk meetings with subs and vendors as needed.
- Compile and maintain project directory.
- Provide payment for necessary permits (if in contract).
- Initiate all hazardous materials (lead & asbestos) procedures if/as needed.
Construction
- Generate and issue subcontracts.
- Attend jobsite meetings and interface with all project stakeholders as needed.
- Provide information to the project team and facilitate communication between all participants involved in the project.
- Maintain and update project schedule.
- Communicate with Site Super/Foreman and/or SPD PM daily.
- Coordinate material ordering, pickup and delivery with Site Super/Foreman.
- Assist Site Super/Foreman with long lead time orders.
- Plan distribution and facilitate shop drawing process.
- Provide cost & financial data to Site Super/Foreman.
- Administrative support to the construction process and project documentation.
- Maintain complete and well-organized documentation of the project.
- Maintain Project Folders.
- Create change orders, submittals. Submit to Clients for approval and processing.
- Review monthly invoices generated by accounting for accuracy, then submit to client for payment.
- Review and monitor budget, cost projections, and job status.
- Assist Site Super/Foreman with scheduling of subcontractors.
- Send out calendar invites to SPD Foreman/Super and pertinent parties for all projects; ensure all parties, including clients, are aware of appointments and site visits.
- Assist SPD Foreman/Super with weekly labor schedule (SIP) for field employees to ensure they are scheduled for work.
Post-Project
- Compile project Closeout Binder if applicable.
- Archive pertinent information.
- Attend job closeout meetings if/as needed.
- Final Change Orders - reconcile all allowances if applicable.
General Administrative
- Miscellaneous tasks as required.

- Ability to understand and decipher legal contract , code, and technical construction technologies.
- Demonstrated proficiency with spreadsheets, word processing, and scheduling software.
- Ability to read blueprints.
- Impeccable and concise communication and presentation skills: oral, written, and visual.
- A minimum of 18 months of high-end residential construction project management experience, preferably in the SF Bay Area.
- College degree but not required if industry-specific professional experience makes up for it.
- Experience managing multiple projects at the same time.
Physical Requirements and Work Environment
- Ability to work in office, and construction environments.
- Ability to sit at desk for long periods of time and intermittently walk, stand, stoop, kneel, crouch, and reach while performing office duties.
- Ability to use hands to finger, handle or feel objects, tools, or controls; lift and/or move light weights.
- Ability to maintain effective audio-visual discrimination and perception needed for making observations, communicating with others, reading, and writing, and operating office equipment.
- Ability to use a telephone to communicate verbally and a keyboard to communicate through written means, to review information and enter/retrieve data.
- Ability to see and read characters on a computer screen.
- Ability to lift and carry cartons or packages weighing up to 50 pounds.
- Ability to sit, stand, walk, climb, bend, go up and down stairs and ladders, crouch, and crawl.
- Exposure to heat and/or cold, and inclement weather.
- Exposure to fumes or airborne particles.
