Service/Inspection Coordinator

As a key member of our Operations Team, the Service
Coordinator will play a vital role in supporting the scheduling, coordination, billing, and
administrative functions necessary for the effective delivery of our fire protection
services. These include fire sprinklers, fire alarms, and fire extinguishers. In addition to
core Service Coordinator responsibilities, this role will occasionally support project
management tasks as needed based on workload and project demands.
Duties and Expectations:
1. Coordinate service schedules, dispatching technicians for inspections, repairs, and
installations.
2. Serve as a central point of communication between technicians, clients, and internal
staff to ensure efficient execution of daily operations.
3. Review sold service projects to determine material requirements and assist with the
timely procurement of materials and equipment.
4. Manage the submittal and permit process with local Authorities Having Jurisdiction
(AHJs), including tracking progress and ensuring timely approvals.
5. Work with vendors and suppliers to obtain pricing, track deliveries, and resolve
procurement issues.
6. Generate, review, and submit service invoices in a timely manner, ensuring accuracy
and proper documentation of labor, materials, and other billable items.
7. Follow up on outstanding service billings when necessary and collaborate with the
accounting team to address client questions or payment issues.
8. Maintain accurate service records, job tracking systems, and internal databases.
9. Assist in improving internal Standard Operating Procedures (SOPs) as the company
grows and evolves.
