Job Overview:

Vanport Mechanical Fire Sprinklers Inc. is hiring a Service Dispatcher to join our growing team that supports both HVAC and Fire Sprinkler divisions. This critical role serves as the communication and coordination hub between customers, technicians, and management. As our Service Dispatcher, youll schedule and dispatch technicians, track jobs, manage communications, and ensure operational flow throughout the day. Key Responsibilities:

  • Dispatch and schedule field technicians for service calls, preventative maintenance, and emergency work across HVAC and Fire Sprinkler departments.

  • Monitor daily job progress and communicate real-time updates to customers and technicians.

  • Confirm appointments with customers and provide clear communication around timing, procedures, and expectations.

  • Track and update job tickets using BuildOps and QuickBooks (training provided).

  • Collect payment information and ensure billing protocols are followed, especially for COD and testing jobs.

  • Review technician work orders for accuracy before job closure, ensuring proper documentation of time, materials, and notes.

  • Proactively manage open estimates, pending jobs, and scheduling conflicts.

  • Coordinate directly with HVAC and Fire Service Managers on tech availability, priorities, and adjustments.

  • Maintain professionalism and positivity under pressure be the person everyone counts on.

Qualifications:

  • 2+ years of experience in dispatching, scheduling, or coordination (preferably in the trades, construction, or service industry).

  • Excellent time management and multitasking skills in a high-volume environment.

  • Strong verbal and written communication skills able to connect confidently with field teams and customers.

  • Proficient with Microsoft Office; experience with service platforms like BuildOps is a plus.

  • Ability to stay calm under pressure and make sound decisions quickly.

  • Demonstrated ownership, accountability, and problem-solving mindset.
