About the Opportunity

We have a fantastic opportunity for a Service Coordinator to join our Service & Heat Supply team supporting the operations of the team.

The role will involve:

  • Leading on the Service and Heat Supply team’s invoicing and ensuring all heat supply is invoiced on a monthly basis with clients receiving all appropriate records
  • Leading on financial analysis for the Service Scotland team including analysis of Job and Contract Profitability on Sage 200 and assisting with management of the business unit budget
  • Assisting with customer tendering and bids as required
  • Planning on site works and coordination of engineers
  • Managing Protean templates and processes, including uploading new contracts and updating existing contracts
  • Leading on HETAS notifications and attending meetings if required
  • Supporting the Service Desk Manager and team to create service tickets and allocate to engineers
  • Covering the Service Desk Manager as and when required
  • Assisting with reviewing incoming service reports and supporting in actioning any follow up works as required
  • Support the Service Desk Manager and team to monitor boiler uptime on ISTA on a proactive basis and ensure uptime is maximised as per team KPIs
  • Being the point of contact for Heat Trust bi-annual submissions
  • Coordinating the procurement function of the Service and Heat Supply team, seeing through the procurement process for parts
  • Generating purchase orders and goods received notes as required
  • Assisting with engineer van stock levels and tooling requirements and assisting the Parts and Stores Coordinator at Fort Wiiliam with stock management
  • Completion of subcontractor applications and renewals
  • Providing internal and external customers with job reports, photographs and any additional information required
  • General administration support duties as required to support the Service and Heat Supply team

What we are looking for:

A passionate and driven individual who is an excellent communicator and is committed to providing outstanding customer service and satisfaction and has the following knowledge, skills, and experience:

  • SQA Highers or English A Levels or equivalent school qualifications
  • Good geographical knowledge, covering Scotland locations
  • Sage Accounting software skills
  • Excellent organisational and administration skills
  • Initiative to work independently, and work as part of a team
  • Excellent interpersonal and communication skills to build good working relationships internally and externally

  • Salary: Competitive to be discussed during interview
  • Hours of work: 40 hours per week; Monday-Friday, 08:00-17:00 (1 hour lunch)
