Role Overview
The Sales & Operations Manager functions as the central coordinator connecting Sales, Client Accounts, Production Planning, Logistics, and Accounting. This role is responsible for ensuring customer orders are accurate, production is aligned with demand, and outbound shipments meet schedule and compliance requirements.
In addition, the role carries day-to-day supervisory oversight of production shifts, including workforce coordination, safety enforcement, and operational reporting.
This is a fast-paced, high-visibility role requiring strong operational judgment, systems fluency, cross-department communication, and disciplined follow-through.
Core Responsibilities
1. Client Management & Sales Operations
-
Review and enter customer purchase orders; verify specifications, pricing, quantities, and feasibility.

Serve as primary contact for customer order status, delivery expectations, and adjustments due to capacity or material constraints.

Maintain client profiles, contracts, and term approvals in ERP/CRM systems.
-
Prepare quotations, sales confirmations, and required paperwork.
-
Resolve order discrepancies, after-sale issues, and provide clear, timely communication to B2B customers.

Coordinate internally to align customer requirements with production and logistics constraints.
2. Production Planning & Coordination
-
Translate sales orders into manufacturing orders (MOs/POs) with accurate specifications.
-
Build and adjust daily/weekly production schedules in collaboration with shift supervisors and production leads.
-
Monitor progress and intervene when delays, bottlenecks, or material constraints arise.
-
Communicate tooling, plate setup, changeover requirements to production teams.
-
Track yields, rejects, downtime trends; provide data to refine planning accuracy.
-
Identify inefficiencies and propose process improvements.
3. Logistics & Fulfillment Management
-
Coordinate with warehouse and external carriers to schedule pickups, deliveries, and dispatch plans.

Prepare packing lists, bills of lading, commercial invoices, and compliance documents.
-
Track all shipments until delivery; secure PODs; resolve exceptions or delays.
-
Maintain real-time logistics tracking across all active orders.
-
Work directly with 3PLs or freight brokers as needed.
-
Communicate appointment schedules and delivery confirmations to clients.
4. ERP, EDI, and Data Management
-
Maintain accurate order, production, and shipment data across ERP/EDI systems (Fishbowl, SPS Commerce, NetSuite, SAP, etc.).
-
Reconcile manufacturing orders, inventory usage, and shipment data against accounting records.
-
Manage client vendor portals (Vendor Central, Retail Link, Partners Online, etc.).
-
Generate dashboards and reports covering open orders, fulfillment performance, backlog, cost exceptions, and aging.

Maintain documentation archives for traceability, audit readiness, and compliance
5. Finance & Invoice Coordination
-
Ensure invoices match production output, shipment records, and purchase order terms.
-
Support Finance in reconciling discrepancies and confirming payment receipts.
-
Track receivables and communicate outstanding balances internally.
6. Production Oversight & Shift Supervision
(This section integrates the Shift Supervisor duties adapted to a managerial level. NOTE: Some of the responsibilities are supported by Production team leaders; not sole responsibility for this position.)
Authority Scope

Adjust frontline staffing and shift assignments to meet production needs.

Approve leave requests when justified.
-
Issue disciplinary actions up to suspension; escalations beyond that require GM involvement.

No unilateral procurement or equipment modification; must be pre-approved.
Operational Duties
-
Conduct daily oversight of production flow, staffing, equipment status, and compliance.
-
Verify and approve daily production summaries for die-cutting, printing, and post-processing.
-
Monitor material waste, scrap rates, and cost-impacting trends.
-
Identify process bottlenecks and coordinate problem-solving with the GM and production leads.
-
Participate hands-on when needed to maintain operational continuity.
People & Attendance Management
-
Oversee daily roll call, schedule alignment, attendance verification, and punch edits.
-
Conduct informal weekly feedback with frontline staff.
-
Manage onboarding of new workers and facilitate their training.

Ensure new employees receive complete SOP and safety training, delivered directly or via senior mentors.

Host short pre-shift meetings covering objectives, safety reminders, and quality expectations.

Identify skill gaps and propose training plans.
9. Cross-Department Communication & Reporting
-
Serve as the operational bridge between Sales, Production, Warehouse, Procurement, and Accounting.
-
Attend and report in daily/weekly operations meetings: order status, backlog, production risks, logistics exceptions.
-
Provide clear, data-driven summaries for decisions requiring management review.
-
Ensure accurate shift handoff communication between supervisors.
Qualifications
Education
-
Bachelor’s degree in Business, Supply Chain, Operations Management, or related field .
Experience
-
3–5 years in order management, production coordination, logistics, or manufacturing operations.
-
Direct experience with ERP/EDI systems and production scheduling.
-
Previous supervisory experience in manufacturing is strongly .
Skills
-
Strong Excel capability (pivot tables, formulas, VLOOKUP, reporting).

Clear written and verbal communication.

Strong problem-solving with attention to detail.
-
Ability to work under pressure and manage competing priorities.

Fluent English required; Spanish is a strong advantage.
