Sales and Project Coordinator ? Healthcare Equipment

Job DescriptionJob DescriptionWere seeking a highly organized and client-focused Sales & Project Coordinator to support our executive team in managing technical sales and production timelines. This role works closely with the CEO and VP of Business Development to ensure projects move smoothly from proposal to delivery.

Youll be the behind-the-scenes hub of communication, tracking quotes, preparing bid responses, managing client updates, and coordinating delivery logistics. If youre detail-oriented, thrive in a fast-paced environment, and enjoy blending sales support with project execution?this is your role.

Key Responsibilities:

• Coordinate and support the full sales cycle?from initial inquiry through final delivery.
• Prepare and submit quotes, bids, and RFP responses based on customer specifications.
• Maintain accurate records in the CRM, tracking deals, communications, and timelines.
• Serve as a point of contact for customer inquiries, scheduling, and project updates.
• Track and manage project milestones; work with internal teams to ensure deadlines are met.
• Conduct final inspections and assist with client delivery walk-throughs when units are complete.
• Assist the CEO and VP with presentations, reports, and sales data.
• Represent the company at occasional client visits and trade shows.
• Identify and support continuous process improvement in sales and project coordination.

Qualifications:

• 3+ years of experience in sales support, project coordination, or operations?ideally in a technical or equipment-based environment.
• Excellent organizational and time-management skills.
• Strong communication skills, both written and verbal.
• Proficiency with CRM systems, Microsoft Office, and project tracking tools.
• Ability to coordinate cross-functional teams and manage competing priorities.
• Comfortable supporting executive leadership and interacting with clients.
• Must have reliable transportation and be able to pass a background check.
