Retail Construction - Facility Solutions Account Representative

Summary of Responsibilities
A Facility Solutions Account Representative is responsible for the overall management and execution of assigned work orders or warranty claims. Aids in the onboarding of new clients and vendors.Provides communication to clients and vendors related to assigned work orders or warranty claims.
Responsibilities and Duties
- Uphold and represent all company values and ethics.
- Hold an exceptional understanding of company policy, procedures, and software(s).
- Assess, troubleshoot, and dispatch vendor resources for requested work orders or warranty claims.
- Qualifies vendor proposals and material quotes for assigned work orders.
- Executes and communicates work order progress, scheduling, and close out of active work orders.
- Upholds company accounting and invoicing procedures as it pertains to assigned work.
- Manages Facilities Services trades who repair and maintain retail space buildings and grounds owned by clients from office.
- Responsible for coordination of repairs and service calls on a daily basis.
- Solid organizational and interpersonal skills with the ability to effectively communicate via phone and email with clients and customers
- Result oriented and able to shift priorities as needed with the ability to prioritize and multitask in a fast-paced office environment.
- Ensure profitability measures are consistently met on every work order.
- Successfully executes all work orders or warranty claims on assigned work.
- Maintain communication with clients throughout the duration of the work order or warranty claim. This includes participating in weekly client conference calls or meetings.
- Provide Facility Account Manager with clear assigned work order reporting and updates.
- Contribute to business development efforts through client relationships.
Job Execution
- Successfully operate and execute multiple work orders and/or warranty claims simultaneously.
- Ensure proper time management and prioritization are implemented on assigned tasks.
- Ensure work processes are followed in accordance with company policies and procedures.
- Proactively monitor progress of work orders and/or warranty claims through communication, reports, and cost analysis.
- Successfully complete a timely closeout of each work order and/or warranty claim. This is to include, but not be limited to, timely and accurate final billing and all closeout procedures are being upheld.

Requirements for Facilities Account Representative position:
- High School Diploma or GED
- Previous facility management experience
- Basic knowledge of construction and general trades a plus
- Working knowledge of maintenance, operation, and repair of retail space
- Proficient in Microsoft Office products with general computer skills
- Rotational on-call nights and weekends with other department team members.
- Service Excellence: Develops and maintains solid working relationships within the department as well as all other departments throughout the system.
