Receptionist - Oil & Gas / Commodity Trading
Job Description
A highly respected organization in the oil & gas and commodities trading sector is seeking an experienced, professional, and career-minded Receptionist to serve as the primary point of contact for visitors, clients, and employees. This position requires a polished demeanor, exceptional communication skills, and the ability to maintain a seamless, welcoming front office environment.
Key Responsibilities:
- Warmly greet and assist all visitors and internal guests; provide refreshments and manage parking validations.
- Promptly notify and coordinate with staff regarding guest arrivals.
- Manage conference room calendars, schedule meetings, and oversee meeting logistics.
- Set up and support video and audio conferencing, including basic AV troubleshooting in coordination with the IT team.
- Coordinate catering for meetings, ensuring timely setup, service, and cleanup.
- Maintain pristine guest-facing areas, including the lobby, beverage station, and conference rooms.
- Keep the reception area organized, professional, and ready for visitors at all times.
- Answer and direct incoming calls with courtesy and efficiency.
- Handle outgoing mail and courier services, including FedEx shipments.
- Arrange transportation for guests and employees as needed.
- Assist with supply orders and general office support tasks.
- Support onboarding activities such as taking new hire photos and ordering business cards.
Qualifications:
- Minimum 5 years’ experience as a Receptionist in oil & gas or commodity trading industry.
- Demonstrated commitment to a career in front office and guest relations roles.
- Proficiency with Microsoft Office and basic AV equipment.
- Exceptional interpersonal skills, professional appearance, and polished demeanor.
- Strong organizational skills with keen attention to detail.
- Ability to manage multiple priorities in a fast-paced environment.
