Job Description
Job Title: Surveyor / Estimator
Reports To: Sales Director (RS)
Job Purpose
To manage all aspects of the customer journey from initial enquiry through to securing projects. Responsibilities include responding to enquiries, conducting site surveys, liaising with clients, preparing accurate drawings and documentation, and producing costed quotations that achieve company targets.
Accountabilities & Responsibilities
General
Review and manage daily Insightly enquiries and tasks.
Keep project pipeline stages accurate and up to date.
Manage incoming emails and file completed actions.
Report any system errors or project issues to management.
Support colleagues within the estimating and sales team as required.
Provide holiday cover for team members when needed.
Report progress, raise concerns, and seek guidance when necessary.
Attend weekly sales meetings to report on enquiry progress.
Participate in monthly reviews to discuss KPIs and personal development goals.
Attend monthly management meetings to present estimating and sales updates.
Project-Specific
Contact clients within 48 hours of enquiry to arrange a site survey.
Conduct site visits to assess requirements, take detailed measurements, and capture photographs.
Record comprehensive notes and brief the drawing team with full project details.
Follow up with clients to confirm estimates are in progress and clarify finish details or sample needs.
Manage any project refinements and maintain clear communication with clients throughout.
Identify and qualify new suppliers or subcontractors, obtaining competitive quotations.
Consider health and safety requirements and include appropriate plant or equipment.
Prepare detailed project costings, BOQs, and supplier purchasing lists.
Aim to maintain a target sales margin of 30%.
Review all estimates and drawings for accuracy and completeness.
Schedule estimate and drawing return dates with clients and manage expectations.
Ensure building regulations requirements are considered and communicated.
Update estimates and drawings to reflect client amendments or new proposals.
Obtain client sign-off on final drawings and proposals.
Return final proposals for projects over £40K, or email for projects under £30K.
Request order commitment or decision date and confirm next steps in writing.
Maintain contact until the order is placed, and record reasons for any lost opportunities.
Confirm deposit requirements and payment structures with clients.
Obtain written client approval using the APS Project Agreement.
Handover final project details to the contracts team.
Prepare 30/60/90-day estimating and sales reports for management meetings.
Key Performance Indicators (KPIs)
All enquiries followed up within 48 hours.
Achieve a minimum 30% gross profit on monthly/annual sales.
Meet or exceed monthly sales targets.
Keep material cost variance within ±5%.
Keep man-day estimate variance within ±1 day per 10 estimated days.
Skill Specification
Full UK driving licence.
Experience in the construction and interior fit-out industry.
Strong communication, leadership, and client management skills.
Excellent attention to detail and administrative capability.
Effective workload prioritisation and time management.
Willingness to travel for site visits and client meetings
