Purchasing Specialist in Sonoma

Job Description

We are currently seeking a Purchasing Specialist, a full-time, on-site role based in Sonoma, CA. This position is responsible for managing end-to-end purchasing activities, including creating and processing purchase orders, coordinating with suppliers, and monitoring delivery timelines to ensure uninterrupted operations. The Purchasing Specialist will analyze purchasing needs, evaluate vendor quotes, and support cost-effective procurement decisions in alignment with company policies. Daily tasks include maintaining accurate purchasing records, resolving discrepancies with invoices or deliveries, and collaborating with internal teams to forecast and plan material requirements. The role also involves continuously reviewing purchasing processes for improvements and supporting reporting on purchasing performance and metrics. Local candidates only.

Responsibilities

  • Monitors and maintains acceptable inventory levels in all warehouse locations, including consignment.
  • \n

  • Directly communicates with factories/vendors via email, fax or telephone to place purchase orders, obtain current lead times and/or stock availability, shipment reschedules, request samples and maintain sample lot, supply updated weekly Planned Purchase Forecast and/or other miscellaneous reporting required.
  • \n

  • Maintains all factory pricing, ensuring that all current standard part numbers, costs and pricing are updated includes landed costs and sales pricing tables.
  • \n

  • Analyze on hand balances, on order quantities and expected usage.
  • \n

  • Place purchase orders for inventory items to support production needs while maintaining appropriate inventory balances per materials management policies.
  • \n

  • Negotiate delivery dates, quantities, prices, and contracts to provide the best overall value for our company.
  • \n

  • Manage rejected materials by communicating with vendors and quality control. Obtain approvals to return, rework or sort materials, prepare appropriate paperwork and input or assume responsibility for the input of necessary paperwork.
  • \n

  • Review the Orders to Review and Cancel Report each week and take appropriate action to minimize the impact of outstanding orders that may no longer be needed. Reduce quantities, reschedule deliveries, and cancel orders as needed.
  • \n

  • Interfaces with Warehouse, Accounting, Marketing, and other administrative staff.
  • \n

Qualifications

\n

  • Associates degree or equivalent related experience.
  • \n

  • 3 to 7 years of experience with purchasing and materials management practices, policies and procedures.
  • \n

  • Experience with Microsoft Business Central or similar ERP procurement systems is required
  • \n

  • Commercial proficiency with Microsoft Office products including Word, Outlook, and Excel. 
  • \n

  • Background with the procurement of industrial electronic and wireless telecommunications components is a plus
  • \n

  • Prior experience with catalog management and publication through Adobe Creative Cloud is a big plus.
  • \n

  • Extensive analytical experience with demonstrated results.
  • \n

  • Intermediate to advanced level computer skills.
  • \n

  • Exercises judgement within defined procedures and practices to determine appropriate action.
  • \n

Compensation: $65k to $75k
