Property Maintenance Coordinator

Position Summary
The Property Maintenance Coordinator will play a key role in overseeing and executing day-to-day operations across all Dove Storage properties. This position is responsible for ensuring that maintenance tasks are completed on time, vendors are properly coordinated, and all operational activities are documented and followed through to completion.
This role is based out of our Great Neck, NY office and serves as the central point of coordination between on-site maintenance managers, third-party vendors, and internal team members — including a remote operations employee.Key Responsibilities
Maintenance Oversight
- Monitor and manage daily task activity across all properties to ensure nothing falls through the cracks.
- Communicate directly with maintenance managers by phone, text, or video to clarify task requirements, answer questions, and confirm completions.
- Review photos, notes, and updates from the field to validate work and address any discrepancies.
- Ensure recurring tasks such as walkthroughs, overlocks, unit clean-outs, inventory, and pest control are completed to standard.
- Follow up promptly on incomplete or incorrect task submissions and hold team members accountable.
Vendor Coordination
- Coordinate with landscaping, snow removal, and repair vendors across all properties.
- Schedule and follow up on one-time repairs and seasonal work.
- Obtain quotes, confirm vendor completion, and ensure quality of work through visual documentation and reporting.
Project Support
- Assist with planning and execution of capital improvement initiatives, including fencing, signage, lighting, and drainage upgrades.
- Track progress, coordinate onsite access, and help troubleshoot any delays or issues.
Team Collaboration & Quality Control
- Oversee the work of a remote operations team member who assigns tasks and manages administrative workflows.
- Audit their performance and provide feedback to correct any recurring errors or lapses.
- Maintain clear communication between internal team members and field staff to ensure alignment and accountability.
Qualifications
- 2+ years of experience in property management, operations coordination, or facilities support.
- Strong attention to detail and high level of accountability.
- Clear and professional verbal and written communication skills.
- Highly organized and comfortable managing multiple moving parts across a distributed team.
- Confident with basic digital systems (training provided as needed).
- Proactive problem-solver who takes initiative and owns outcomes.
- Self-motivated, with a sense of urgency and pride in high-quality execution.
