Project Manager

Location: Tampa Florida
Employment Type: Full Time
Reports To: Operations Manager

About the Role

We are seeking a detail-oriented and proactive Project Manager to serve as the critical link between the office and field operations. The Project Manager is responsible for ensuring that all project-related information, documentation, and communication flow seamlessly between departments, enabling our field teams to execute work efficiently and safely.

The ideal candidate will have a strong understanding of construction or demolition processes, excellent organizational skills, and the ability to manage multiple projects while maintaining attention to detail and budget control.

Key Responsibilities

Pre-Construction & Project Setup

  • Receive all necessary information from the estimator, including:
    • Review of all contracts (prime and subcontractor) and contract values
    • Gathering general contractor and subcontractor contact information
    • Understanding project breakdowns, work procedures, and estimator intentions
    • Familiarity with equipment needs, availability, and associated costs
    • Sourcing and negotiating subcontractor pricing when applicable

Permitting & Documentation

  • Acquire all necessary permits, including:
    • Demolition permits
    • Hydrant permits
    • Asbestos surveys
    • Sunshine 811Locate Tickets
    • ROW/MOT (Right of Way / Maintenance of Traffic) and street or sidewalk permits

Communication & Coordination

  • Schedule and lead meetings to communicate project details with the field superintendent
  • Ensure all safety requirements are submitted to and reviewed by the Safety Director
  • Confirm that the safety plan has been provided to the General Contractor
  • Maintain open communication with the General Contractor throughout the project:
    • Request project start dates
    • Provide weekly follow-ups and updates
    • Send a final completion email to confirm client satisfaction

Change Management

  • Identify, document, and manage all change orders or changes in project conditions
  • Notify the General Contractor of all proposed changes
  • Prepare formal change order documentation and obtain written approval prior to proceeding
  • Issue written notices to proceed to field teams once changes are authorized

Job Cost & Budget Control

  • Maintain and review project budgets weekly
  • Compare costs incurred to production completed
  • Work with the field superintendent to identify and address budget overruns early
  • Review and approve all project-related invoices before submission to Accounts Payable

Field & Billing Coordination

  • Maintain consistent communication with assigned superintendents regarding:
    • Daily production numbers
    • Schedule changes or updates
  • Relay job progress and billing information to the billing department for accurate invoicing

Estimator Communication

  • Keep the estimator informed of:
    • Approved change orders
    • Budget status or cost concerns
    • Overall job progress and outcomes

 

Qualifications

  • 3–5 years of experience in project management (construction or demolition )
  • Strong knowledge of construction contracts, budgeting, and permitting
  • Excellent written and verbal communication skills
  • Proficient in Microsoft Office Suite (Excel, Outlook, Word) and project management software
  • Strong organizational and multitasking abilities
  • Ability to manage deadlines, budgets, and cross-functional communication effectively
