POSITION DESCRIPTION:
The Project Manager will lead the planning, coordination, and execution of in-person meetings for NOAA. This role ensures all logistical and onsite needs are met, acting as the primary liaison for venue, travel, technology, and event operations.
RESPONSIBILITIES:
- Plan and oversee logistics for two annual in-person meetings, lasting up to four days each.
- Coordinate with hotels and venues to secure meeting space, negotiate contracts, and manage room blocks.
- Ensure onsite readiness, including technology setup (A/V, internet, projection, microphones, power access).
- Supervise room configuration, catering (continental breakfast, beverages), and participant materials.
- Act as the point of contact for NOAA staff and attendees during meetings.
- Monitor budgets, invoices, and contract deliverables related to meeting planning and logistics.
- Support compliance with confidentiality, federal travel guidelines, and Section 508 accessibility standards
REQUIREMENTS:
- 3+ years of experience in event or conference management, preferably for government or nonprofit organizations.
- Strong organizational and problem-solving skills, with ability to manage complex logistics.
- Knowledge of federal travel guidelines and conference planning best practices.
- Excellent interpersonal and communication skills for vendor and stakeholder coordination.
- Ability to travel to meeting sites and work onsite for multi-day events.
