General Summary:
The Project Manager Assistant supports the stores and field in day-to-day cash collection operations of armored car and smart safes. The assistant is expected to facilitate and resolve performance issues on a store-by-store basis, aid project management, and train associates on the use of the smart safe. The assistant will work to build solutions and recommendations to drive performance improvement and compliance for armored services & smart safes within the stores.
Principal Duties & Responsibilities:
- Partner with vendors/third party project management teams and internal business partners to resolve store smart safe usage problems
- Manage the cash loss inbox and respond to all store/field email requests
- Protect store safety by monitoring store cash amounts to prevent excess amounts from accumulating
- Arrange emergency pick-up/drop-off service in stores where service disruption has caused excess amounts to accumulate
- Communicate with stores and vendors in timely manner for holiday pick up schedule changes, service disruptions and emergency pick-ups
- Ensure timely issue resolution from vendors and/or internal business partners
- Review survey install data and partner with the field team to manage smart safe moves (store closures, renovations)
- Coordinate with AP Budget & Forecast Manager to ensure that all projects are delivered on-time, within scope and budget
- Conduct in-depth analysis using data collected & combined from multiple data sources to provide actionable recommendations for compliance improvement (manual drops, change order payback, smart safe capacities)
- Responsible for developing and delivering effective presentations and reporting solutions for Asset Protection, Operational & Treasury leaders
- Responsible for identifying opportunities and coordinating projects across Asset Protection and cross functional teams.
- Deliver reporting on a daily, weekly & monthly basis covering performance improvement and compliance
- Support ad hoc data and analysis requests from leadership teams in Ops/AP/Treasury departments
- Coordinate with field Asset Protection team to review exceptions and train field & store personnel
Major Tasks & Responsibilities
- Manage all daily email communication from stores/vendors/business partners and follow up to ensure issues have been resolved
- Maintain detailed tracking of burglary incidents, vendor claims and payments
- Identify trends, develop solutions, project planning and data analysis
- Produce daily/weekly/monthly reporting for field AP/Ops teams and leadership to review and utilize
- Lead presentations and training sessions for field teams, cross functional & department leaders
- Synthesize findings and make recommendations to upper management
- Continuous improvement in all analysis & reporting to fine tune action items
Minimum Requirements:
- Bachelor’s Degree or 2-3 years’ experience in an analytical/project management role
- Strong computer skills (Expert Excel & PowerPoint) – you will be tested
- Exceptional organizational skills including attention to detail and multi-tasking skills
- Ability to process and organize high volume of daily emails and communications
- Strong analytical & problem-solving skills
- Experience leading presentations & training
