Position: Project Management Coordinator
Location: Chicago, IL
Duration: 6+ Months
PURPOSE:
We are seeking an energetic team member to support the coordination of key strategic alignment, partnership/alliance, and integration efforts. As a growing leader in the travel industry, our organization is expanding its global footprint through relationships with companies around the world. Recently, several complex initiatives have been launched, and a dedicated function has been established to manage interests in these partnerships, relationships, and, where applicable, acquisitions.
POSITION RESPONSIBILITIES:
The Project Management Coordinator will manage the team’s time, resources, and information flow across a portfolio of 2–4 initiatives, along with ongoing responsibilities of executive sponsors. This role involves working closely with internal leaders, external partners, and third parties to prioritize efforts, facilitate interactions, and ensure alignment across teams.
The ideal candidate will be skilled in coordinating logistics related to global travel, organizing meetings with groups ranging from small teams to 20+ participants, and managing the creation and distribution of shared documents, files, and status updates.
EXPERIENCE AND QUALIFICATIONS:
- Strong written, verbal, and presentation skills in both English and Spanish, effective across executive-level and cross-functional colleagues
- Familiarity with basic data analysis
- Flexibility and adaptability to evolving project initiatives
- Strong team with a collaborative mindset
- Proficiency in Microsoft Office, especially Outlook scheduling; experience with project management software is a plus
- Exceptional attention to detail, strong organizational and time management skills, with a focus on meeting deadlines
- Proficiency in Spanish is essential
Key Responsibilities Include:
- Ensuring team members and stakeholders have access to shared information (e.g., shared drives, documents)
- Supporting Project Managers in maintaining project schedules, tracking deadlines, and coordinating meetings
- Preparing reports and updates for project managers and executive stakeholders (e.g., team readouts, steering committee updates)

- Full-time, 5-day-per-week role aligned to Central Time business hours, with occasional flexibility to support global time zone coordination
