ATCO PMC is seeking a Project Coordinator to oversee the financial performance of projects from kickoff through closeout. This role owns project budgeting, cost tracking, forecasting, and financial reporting while supporting the administrative and financial processes that keep projects organized and predictable.
The Project Coordinator works closely with Project Managers, Operations, Production, and Corporate Finance to ensure clear financial visibility and disciplined financial management across PMC projects.
Responsible for coordinating the successful planning, project delivery and contract execution of project administrative functions.
KEY ACCOUNTABILITIES/RESPONSIBILITIES
- Liaise with customers, contractors, and ATCO internal to obtain and issue site investigations, engineering site plans, building approval applications and occupation certificates.
- Transmit and upload documentation to obtain manufacturing approval, site mobilization and progress plans. This includes drawing and design approvals, project management plans, subcontractor approvals, etc.
- Compile and submit documentation to achieve contract milestones. This includes bank guarantees, insurance documents, progress reports, contract notices, and other contractual obligations.
- Coordinate subcontractors and suppliers. Prepare purchase orders, obtain relevant subcontractor insurance, establish supplier accounts, and provide work scope/site plans to contractors as necessary.
- Monitor and approve vendor and subcontractor invoices; reconcile invoices to related purchase orders and track accordingly.
- Work with Accounting teams to create new vendor requests; perform necessary data entry of project bids and expenses.
- Assist with collection activities. Liaise with clients and Accounts Receivable department; manage general inquiries, disputes, and 60/90 debtors.
- Manage financial processes including POs, change orders, commitments, and vendor cost.
- Assist Business Development Manager in package of quote and tender submissions.
- Financial recording and cost control – obtaining approval for supplier and subcontractor invoices, reconciling values claimed, and inputting the entries into the project bid cost tracker and purchase order register.
- Invoicing. Creating internal and external documentation to client, such as project claims.
- Assistance with account payables including creating new vendor requests, batch headers and data entry into project bids and expense registers.
- Liaison with customer, ATCO internal and contractors for rectification of non-conformances.
- Communicates effectively through verbal and non-verbal correspondence, adapting to audience needs and responses.
- Undertake other such duties or training as reasonably required and consistent with the general level of responsibility of the position.
- General administrative support to Contracts Administrator.
- Help establish consistent financial processes across PMC projects.
- Maintain accountability to budgets, approvals, and financial procedures.
- Improve financial reporting tools and workflows over time.
REQUIRED QUALIFICATIONS/EDUCATION/WORK EXPERIENCE
- Bachelor’s degree, or combination of education and experience.
- 3-5 years in construction project accounting, project controls, or financial administration.
- Strong understanding of construction project financials.
- Strong customer service focus and ability to converse with building and construction site managers.
- Demonstrated ability to adapt to changes and work at a fast pace in peak times.
- Good problem solving, investigative and conflict resolution skills.
- Ability to learn and understand systems, software and procedures.
- Intermediate ability to use Microsoft Office / Windows applications.
- Ability to work well in a team environment and establish positive and collaborative working relationships.
- Able to develop effective working relationships by building credibility, respect and rapport with internal and external networks.
- Clear, concise and influential written and verbal communication skills.
- Attention to detail and good work ethic.
- Able to operate with minimal supervision.
- Seeks all relevant information for problem solving and providing recommendations.
