Local flooring contractor is seeking a full-time, in-house project coordinator to join our team. We are looking for a dedicated candidate that is willing to fully commit to the role and support their team members.

  • Computer/tech-savvy, i.e.: MS Office (Outlook, Word, Excel), experience with QuickBooks a plus, experience with MeasureSquare take-off software a plus but not required.

Experience in commercial construction a plus but not required.

Position Summary: The Project Coordinator is responsible for managing the administrative and logistical backbone of all active projects. Working in close coordination with the project manager, estimators, and superintendents, the Project Coordinator ensures that submittals are processed accurately, materials are procured and delivered on time, insurance requirements are met, and all project documentation is organized and complete from award through closeout.

Post-Award & Project Setup

  • Participate in project handoff meetings with the estimator, project manager, and superintendent
  • Transitioning project in CRM from Contracted status in Sales Pipeline to Contracted in Contracted Pipeline for synchronization with QuickBooks Online bookkeeping software.
  • Receive and review all project submittal requirements following the handoff meeting
  • Request and provide certificates of insurance to the general contractor at the start of each project
  • Create and submit all required product submittals to the general contractor for approval
  • Track submittal status and follow up with the GC as needed to ensure timely approvals
  • Communicate submittal approvals to the project manager and superintendent promptly
  • Issue material sample orders where applicable throughout the projects

Material Procurement & Delivery

  • Place all material orders based on approved submittals and project schedules, ensuring timely procurement of all materials based on project schedule as issued by GC
  • Coordinate material delivery logistics — to the warehouse or directly to the jobsite — based on superintendent and/or project manager direction
  • Track order status and confirm delivery schedules with vendors
  • Support field personnel with immediate and ongoing material needs including placing orders, following up on existing orders, and verifying material stock with vendors
  • Resolve any material delivery issues, shortages, or discrepancies in coordination with the superintendent and project manager
  • Maintain accurate records of all material orders, confirmations, and deliveries
  • Facilitate any and all Owner Direct Purchases (ODP) on an as-needed basis.

Project Documentation

  • Maintain organized and current project files for all active and completed projects
  • Assist the project manager with any ancillary GC-required documentation as needed
  • Manage all project closeout documentation including warranty documentation

Budget Coordination

  • Consult with the Accounting Manager as needed to confirm project costs are tracking within budget, follow up with vendors as needed
  • Communicate any cost overrun concerns to the project manager promptly

Reporting & Communication

  • Takes direction from the project manager, business manager, and company president on all active project and subject matters
  • Works closely with estimators, superintendents, and the accounting manager on a daily basis
  • Communicates regularly with vendors regarding material orders, delivery schedules, and procurement issues
  • Communicates regularly with GC’s regarding submittals, vendor delays or procurement challenges as needed
