Project Coordinator Engineering & Operations
Join Filamatic as a Project Coordinator, where youll play a vital role in supporting cross-functional teamsfrom Engineering to Salesas they execute complex machine-building projects for our clients. Reporting to the COO and working closely with the Project Manager, youll help keep project deliverables on track, documentation precise, and communication flowing across departments.
What Youll Do
Project Support
- Collaborate with the Sales team during order entry to ensure contract documents are accurate and complete.
- Work with Engineering to define, align, and document project scopes and deliverables.
- Support the Project Manager with document control for order bookings, invoicing, change orders, and payment tracking.
- Help maintain clear and timely project communication across all internal and external stakeholders.
- Coordinate and lead project meetings in the absence of the Project Manager.
- Assist in tracking and reporting project status to leadership and internal teams.
- Support execution of internal FAT (Factory Acceptance Test) checklists and customer FAT protocols.
Process Documentation & COO Support
- Partner with the COO to capture and document current business processes through flowcharts and SOPs.
- Review and repurpose legacy documents where appropriate.
- Draft, proof, and finalize policies and procedures with input from leadership and project teams.
- Manage document control and archiving within the companys database systems.
- Provide general administrative support related to documentation and workflow improvement.
What Youll Bring

- Strong attention to detail and organizational skills
- Passion for discipline, accuracy, and documentation
- Proficiency in Microsoft Office Suite; familiarity with web-based applications
- Experience with MS Project and/or Visio (a plus)
- Exposure to life science documentation (e.g., FAT protocols, URS, IQ/OQ) is a bonus
- Willingness to work onsite at our Baltimore, MD location and travel occasionally as needed
- Associates or bachelors degree STEM, data/process driven field, or equivalent experience.
Compensation & Benefits
Salary: $50,000 $65,000 per year (commensurate with experience)
