GENERAL:

Holt Consulting Company, LLC (Holt) seeks an experienced and detailed oriented project coordinator to support our engineering and land acquisition teams. This position will be responsible for performing project coordination, providing team and client support, planning events, and administrative activities to facilitate the efficient operations of the Duluth office.  The successful candidate must have a minimum of three (3) years of experience working in a professional office environment. This candidate will be dependable, reliable, organized, have a professional attitude, and be able to remain focused and task oriented with minimal supervision working with all levels of personnel. Reliable transportation, a valid driver's license, a clean record, and a high school diploma are required; a college degree is .

 

DUTIES AND RESPONSIBILITIES:

  • Use various software programs like Excel, Word, Vantagepoint and other software used to support the technical teams
  • Create reports in Vantagepoint as needed/requested
  • Complete quality control reviews of both internal and external reports, project proposals, and presentations
  • Assist with design and construction projects; this includes data entry, data manipulation, calling vendors or clients, attending meetings and taking notes, etc.
  • Arrange travel (lodging, transportation, registrations, meals, etc.) for employees attending conferences or meetings
  • Organize and plan catered meals for office parties, events, client meetings, etc.
  • Assist Project Managers with billing reports as necessary
  • Run monthly project health reports and project budgets and communicate status with project team members
  • Assist the department with various administrative needs such as printing, copying, filing, and sorting of documents
  • Attend meetings including note taking/minutes as required
  • Provide administrative support when necessary. The role will generally include the following:
      • Assisting with contract coordination as necessary
      • Greeting visitors
      • Answering and directing phone calls, taking detailed messages, as needed
      • Ordering office supplies and maintaining supply inventory
      • Picking up, sorting, and delivering incoming mail
      • Preparing, packaging, creating labels, and dropping off FedEx/UPS packages
      • Planning after-hours office events
      • Running office errands as needed
      • Managing the day-to-day office operations

 

REQUIRED SKILLS:

  • Must be proficient with Microsoft office suite including Word, Excel, PowerPoint, SharePoint, OneDrive
  • Possess the ability to effectively communicate (via phone, email, Microsoft Teams and face-to-face) in a professional manner
  • Strong attention to detail and accuracy
  • Ability to think creatively and analytically with logical problem-solving skills
  • Ability to work independently and take ownership of processes
  • Capability and drive to consistently deliver high quality work
  • Ability to research an issue and gather needed information
  • Excellent writing skills
