About the Role

The Project Coordinator supports construction projects from award through closeout by providing project coordination, document control, and administrative support. This role works closely with Project Managers, Quality Control teams, and internal support staff to ensure projects are properly set up, tracked, and documented throughout the project lifecycle.

This position is ideal for a detail-oriented construction professional who thrives in structured environments, enjoys managing documentation and systems, and supports multiple projects in a fast-paced construction setting.

Key ResponsibilitiesPre-Construction Phase

  • Support award turnover and project startup activities

  • Organize and verify award documentation, RFIs, addenda, and contract files

  • Set up projects in Procore according to established standards

  • Develop and maintain Submittal Registers from drawings and specifications

  • Establish and manage RFI and submittal logs

  • Coordinate early required submittals following Notice to Proceed

  • Track long-lead items and flag procurement risks to the Project Manager

  • Support kickoff meetings and early scope clarification

Construction Phase

  • Maintain accurate submittal, RFI, and correspondence logs

  • Route submittals, RFIs, and documentation for review and approval

  • Track review timelines, resubmittals, and outstanding items

  • Coordinate document revisions with subcontractors as directed

  • Maintain organized, audit-ready project records

  • Track material submittals, purchase orders, and delivery status

  • Support procurement administration and material documentation

  • Collect subcontractor pay applications and compliance documents

  • Support progress meetings with required documentation

Closeout Phase

  • Track and coordinate closeout documentation including O&M manuals, warranties, as-builts, and training records

  • Verify closeout packages are complete and properly organized

  • Support final billing, retention release, and internal archiving

  • Assist with project file turnover and record retention

QualificationsEducation

  • Bachelor’s degree in Construction Management, Business, Accounting, or a related field

Experience

  • 3–5 years of construction project coordination or project controls experience

  • Procore experience required

  • Experience supporting multi-phase construction projects

  • Experience in compliance-driven construction environments is a plus

Skills

  • Procore

  • Microsoft Excel, intermediate to advanced

  • Strong organizational and time management skills

  • Clear written and verbal communication

  • Ability to manage multiple priorities and deadlines
