We administer health plans and pension benefits for over 240,000 participants at 149 employers throughout Northern California and Hawaii. We serve the grocery food market and retail pharmacy industry consisting of essential workers from employers like Safeway, Save Mart, and Raley’s. The Trust Fund Office administers several multiemployer plans; an employee benefit plan maintained under multiple collective bargaining agreements. Our “Taft Hartley” plans are governed by strong Boards of Directors consisting of Union and Employer industry leaders (as Trustees) with a fiduciary focus and care for our Membership and their families. JOB SUMMARY

Responsible for supporting the Project Management department by handling a variety of administrative tasks, maintaining and monitoring project plans, and ensuring deliverables are completed on schedule. This role involves clear and effective communication—both verbally and in writing—with internal and external stakeholders. Additionally, the coordinator organizes and facilitates activities such as meetings and conference calls, takes detailed notes, drafts meeting recaps, and manages schedules for stakeholders.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Provides support to management for achieving operational excellence, and meeting department and organizational goals.
  • Assists project stakeholders with submission, coordination, and status updates as assigned.
  • Maintains the annual project management schedule and regularly communicates project status to the team.
  • Coordinates projects, tracks progress and updates project materials.
  • Coordinates with staff members to ensure that all tasks are completed accurately and on schedule.
  • Organizes, coordinates, and attends meetings; participates in internal pre- and post-meeting discussions to ensure accuracy and that action items are communicated to relevant parties.
  • Prepares and distributes accurate meeting summaries and action items.
  • Manages project-related documentation, ensuring all materials are current, properly filed, and securely stored.
  • Notifies appropriate attendees of scheduled meetings and ensures timelines and meeting materials are received.
  • Provides administrative support as assigned.
  • Other duties as assigned.


MINIMUM REQUIREMENTS:

  • Two years of college-level course work or an Associate’s degree in a related field and two years of related experience.
  • A combination of appropriate education and experience may be substituted for the minimum education and experience requirements.


REQUIREMENTS:

  • Bachelor’s degree from an accredited college or university in a related field.
  • Experience with or knowledge of Taft Hartley fund operations, retirement and health benefits.
  • Experience with Sharepoint for document management and collaboration.
  • Knowledge of a working union environment.


KNOWLEDGE, SKILLS AND ABILITIES REQUIREMENTS

  • Knowledge of standard office procedures, practices, and equipment.
  • Skill in operation of modern office equipment such as personal computer, facsimile, copiers, scanners, calculators, and telephones.
  • Interpersonal skills necessary to develop and maintain effective and appropriate working relationships with co-workers, vendors, members, trustees, and union representatives.
  • Ability to take initiative as a self-starter and display motivation.
  • Ability to take complete and detailed minutes of meetings.
  • Skilled in oral and written communication skills.
  • Skilled in organization (detail-oriented), and ability to navigate a fast-paced agile work environment.
  • Intermediate working knowledge of Microsoft Office applications, including Word, Excel, PowerPoint, Outlook.
  • Skill in providing high quality customer service, including assessing and resolving customer questions and needs while adhering to customer service guidelines and procedures.
  • Ability to comprehend, process and apply both verbal and written skills appropriate to the job.
  • Ability to accurately organize and maintain paper documents and electronic files.
  • Ability to work effectively in a team environment.
  • Ability to handle confidential information with discretion and tact.
  • Ability to detect errors, determine causes, and make corrections as appropriate.
  • Ability to successfully resolve issues in a timely manner.
  • Ability to prioritize and work independently on projects with minimal supervision.
  • Skill in assigning, prioritizing, monitoring, and reviewing work assignments.
  • Ability to plan, develop and coordinate multiple projects.

Salary range: $62,109 - $84,009 per year.
