Job Description: Project Coordinator (Cabinet Shop)

Company: The Colorado Artisan (CAG)
Reports To: Project Manager / Operations Manager

Position Overview

The Project Coordinator serves as the central point of communication and task tracking across departments for active projects at The Colorado Artisan. This role supports the Project Manager by managing administrative and logistical tasks to ensure accuracy, organization, and timely progress from project award through installation and closeout. The Project Coordinator ensures that documentation, schedules, and communication remain current and consistent across all teams.

Key Responsibilities

Document Control

  • Maintain all project-related documents, including approved drawings, submittals, RFIs, change orders, and meeting records.

  • Ensure project folders and logs are up to date and properly organized.

Schedule Tracking

  • Monitor key project milestones: submittals, material orders, production, delivery, and installation.

  • Communicate schedule risks or delays to the Project Manager and relevant departments.

Submittals & Approvals

  • Assist in preparing and tracking shop drawings and finish submittals.

  • Follow up on approvals and flag delays impacting procurement or production.

Procurement Coordination

  • Collaborate with the Purchasing department to confirm lead times and delivery dates.

  • Track material status and ensure alignment with project schedule.

Change Order Management

  • Support the Project Manager in tracking scope changes and pricing requests.

  • Ensure approved change orders are documented and distributed internally.

Meeting Support

  • Attend project meetings, record notes, and distribute action items.

  • Follow up on outstanding tasks and ensure accountability.

Project Closeout

  • Coordinate submission of closeout materials such as as-builts, warranties, and O&M manuals.

  • Track and report progress on punch list items until completion.

Qualifications

  • 2+ years of experience in construction or project coordination (cabinetry/millwork ).

  • Strong organizational and multitasking skills.

  • Proficiency with Microsoft Office, Excel, and project management tools.

  • Excellent written and verbal communication.

  • Ability to read and understand construction drawings and submittals.

  • Detail-oriented with a proactive, solutions-focused mindset.
