Job Purpose: Provides timely, effective and efficient project coordination and job management. Works under general supervision.

Essential Functions include the following. Other duties may be assigned.

1. Maintain communication within internal departments.
2. Opens job in production software, schedules beginning job processes.
3. Initiates project tasks and sets schedule based on internal procedures.
4. Ensures project schedule is accurate by verifying project task list.
5. Ensures project needs are met by verifying project requirements.
6. Work with list of vendors to obtain quotes per project.
7. Updating proposal and estimate templates specific to project.
8. Creation of purchase orders, vendor quotes, invoices, etc…
9. Manage multiple project tasks using production software.
10. Work with others within department to assist in other projects as needed.
11. Ability to work proprietary software throughout the day.
12. Communication with other departments regarding project status.
13. Provides quality and professional customer service by assisting clients, answering questions, and participating in conference calls.
14. Minimal travel requirements, mainly local travel to vendors.
15. Contributes to team effort by actively participating in staff and team meetings.
16. Assists senior project coordinator(s) and public awareness consultant(s) by always maintaining project tasks and communication.

Qualifications and Requirements:.

1. Bachelor degree or equivalent.
2. Ability to read and interpret documents such as procedure manuals and job instructions.
3. Excellent written and verbal communication skills, with the ability to clearly communicate detailed information to clients, coworkers, and management.
4. Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to calculate figures and amounts such as proportions and percentages.
5. Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
6. Excellent customer service skills with the ability to interact in a positive and professional manner to develop and maintain strong working relationships with clients, coworkers and management.
7. Strong attention to detail, organizational skills, and ability to prioritize.
8. Ability to operate computer software, to include, Microsoft Office products, QuickBooks and CRM.
9. Ability to use basic department equipment and tools, such as telephone, computer, fax machine, and copy machine.
10. Ability to maintain confidentiality.

The employee may be required to push, pull, lift and/or carry up to 50 pounds. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, and ability to adjust focus.
2. The work environment is usually a well-lighted, heated and/or air-conditioned indoor setting with adequate ventilation. The noise level in the work environment is usually low. Minimal exposure to outside elements.
