Key Responsibilities

Preconstruction Planning & Project Pursuit Support

  • Assist with bidding activities, including setting up and maintaining bid directories, issuing bid invitations, updating addendums, overseeing the team during pre-bid, scanning bids, and printing documents.
  • Participate in preconstruction activities such as site walk-throughs, risk log development, and site assessments.
  • Review and understand drawings, and contract documents, specifications, submissions, and changes.

 

Project Support

  • Coordinate and review drawings, submissions, specifications, changes, and document control.
  • Set up projects in Procore and SharePoint, including folder creation and template maintenance.
  • Support the preparation and maintenance of project schedules, pull planning, budgets, and forecasting.
  • Track compliance on projects, including subcontractor insurance, closeouts, LEED requirements, and workforce utilization.
  • Assist with material procurement and expedite deliveries.
  • Prepare and track payment requests, invoices, and estimates.
  • Support accounting with lien waiver collection and ensure timely subcontractor payments.
  • Manage change activities by setting up change orders, issuing documentation for pricing, and administering changes.
  • Support subcontractor administration, including defining scopes of work, responding to RFIs, and monitoring progress.
  • Schedule meetings with the design team and subcontractors, including mock-ups, installation coordination, testing, and inspections; document all activities in Procore.
  • Monitor and implement quality control, safety, and environmental programs, including coordination of safety lunches on jobsites.
  • Assist with project close-out activities, including creating close-out logs and coordinating documentation of deficiencies, warranties, maintenance, and final payments.
  • Provide jobsite coverage as needed.

  • Keep open lines of communication and deliver exceptional customer service to internal and external stakeholders.

  • Maintain professional and technical knowledge through ongoing training and license updates.

Required Qualifications

  • Undergraduate degree in engineering or construction management, or equivalent experience.
  • Proficiency with MS Office Suite (Word, Excel, Project, SharePoint), Procore, NetSuite, Submittal Exchange, and other standard programs; Procore certification .
  • Experience working successfully as part of a team.
  • Ability to perform effectively under pressure and manage multiple priorities.
  • Exceptional organizational and communication skills.
