Project Administrator / Data & Change Support Coordinator

We are seeking a highly organised and detail-oriented Project Administrator to support a large-scale employee transition project. This role is an excellent opportunity for someone with strong administrative, Excel, and document management skills, combined with the confidence to handle sensitive employee data accurately and securely.

Day-to-day of the role:

\n

    \n
  • Create and manage mail merges and macros to generate individual PDF documents from spreadsheet data while maintaining accurate formatting.
  • \n

  • Review and validate documentation for accuracy before uploading to internal contract management systems.
  • \n

  • Monitor signed employee acknowledgements and maintain tracking records.
  • \n

  • Prepare and manage payroll reporting spreadsheets for upload and processing.
  • \n

  • Produce documentation to support employee benefit changes and related communications.
  • \n

  • Maintain and update employee transfer records, including final transfer lists.
  • \n

  • Collate, validate, and organise employee-submitted data and documentation.
  • \n

  • Assist with the setup and management of a secure file transfer environment (SFTP/data room).
  • \n

  • Create and maintain organised folder structures and file management processes for secure document exchange.
  • \n

  • Draft and format communication templates and change management materials.
  • \n

  • Collect, consolidate, and reformat incoming employee questions for stakeholder review and response.
  • \n

  • Support wider project administration and data management activities as required.
  • \n

Required Skills & Qualifications:

\n

    \n
  • Advanced Microsoft Excel skills, including data manipulation, mail merges, and macros.
  • \n

  • Strong Microsoft Word experience, particularly in document and formatting.
  • \n

  • Excellent attention to detail and ability to work with confidential and sensitive information.
  • \n

  • Experience managing large volumes of data with a high level of accuracy.
  • \n

  • Ability to produce clear and professional documentation and communications.
  • \n

  • Strong organisational and administrative skills.
  • \n

  • Experience tracking project activities and maintaining accurate records.
  • \n

  • Understanding of secure file transfer methods, SFTP environments, or data rooms would be highly advantageous.
  • \n

  • Excellent written and verbal communication skills.
  • \n

  • Ability to work independently and manage multiple priorities to tight deadlines.
  • \n
