The Administrative Coordinator will support the Owner’s Engineer (OE) team working in Sofia on the Kozloduy nuclear new-build project. The role is essential in ensuring smooth coordination between the OE team, local stakeholders, the Client, and project subcontractors. The selected candidate will provide administrative, logistical, and communication support to facilitate the efficient delivery of the OE contract.
Key Responsibilities:
- Administrative Support
- Define administrative procedures in line with the OE contract.
- Prepare, review, and format documents, correspondence, reports, and presentations.
- Manage document filing, archiving, version control, and compliance with project documentation standards.
- Support internal and external workflows, approvals, and document routing.
- Coordination and Communication
- Act as a local coordination point between the OE team, the Client and the rest of the OE Companies.
- Provide verbal and written translation support (Bulgarian to English and English to Bulgarian) when required.
- Assist in scheduling and coordinating meetings, workshops, and onsite activities.
- Office and Logistics Management
- Support onboarding and orientation of incoming staff and consultants.
- Coordinate travel arrangements, accommodation, office access, badging, and other logistical needs.
- Maintain office supplies, equipment, and general administrative resources.
- Project Support
- Track and monitor administrative tasks, meeting actions, and status updates.
- Assist in preparing agendas, taking meeting minutes, and distributing official records.
- Support procurement coordination activities including managing requests, quotations, and communications with local suppliers, under OE guidelines.

- Candidate Profile Required
- Native or fluent Bulgarian speaker.
- Professional working proficiency in English (written and spoken).
- Strong administrative and organizational background.
- Ability to work in a structured, process-driven environment.
- Excellent communication and interpersonal skills.
- Experience managing confidential information with discretion.
- Competent in Microsoft Office tools (Word, Excel, PowerPoint, Outlook)
