The Program Planner is an entry-level position that does not require previous speakers bureau experience, but requires skills such as organization, time management, communication (written and verbal), and multitasking. The Program Planner’s primary role and responsibility is to coordinate the logistics of the Speakers Bureau events assigned to them. A Program Planner is expected to manage a minimum of 150 programs annually on up to 2 accounts.


Areas of responsibility include:

  • Liaison between client sales representatives, district managers, HCP speakers, HCP attendees, and company
  • Provide client sales representatives with regular planning updates for key milestones and assist representatives with any questions, requests, or concerns
  • Coordinate all logistics within budget and according to service-level agreements/SOPs, including site selection, food and beverage, room setup, travel arrangements, audiovisual equipment, and method of payment
  • Negotiate costs with the venue to ensure the meeting is managed and planned within the allocated budget and provides the best value for the client
  • Maintain updated contracts with the venue to financially monitor the logistics spend and provide accurate financial information at program completion/reconciliation
  • Mediate virtual programs’ preconference between audiovisual facilitator, sales representative, , and client
  • Monitor virtual programs for issues
  • Document all communications and ensure meeting notes are clear and concise
  • Must be able to address urgent items quickly and accurately
  • Manage special projects as assigned by manager
  • Ability to work flexible schedule and/or extended hours to meet client business needs

  • Bachelor’s degree
  • 1 to 3 years of planning experience
  • Ability to work flexible schedules and/or extended hours to meet clients’ business needs
  • Excellent customer service skills
  • Ability to multitask/plan numerous meetings simultaneously
  • Highly organized, with strong attention to detail
  • Must possess excellent oral and written skills
  • Must be proficient in Microsoft Office (Word, Excel, Outlook)
