The Program Operations Manager is responsible for the day-to-day execution, coordination, and operational quality of multiple workforce development programs. This role ensures programs launch on time, run smoothly, and close out with strong documentation, accountability, and outcomes.
The Program Operations Manager partners closely with leadership but owns the operational details that keep programs running effectively.

Own program timelines, calendars, and delivery milestones from launch through closeout

Maintain accurate cohort rosters, schedules, trackers, and documentation

Coordinate onboarding, , instructional sessions, and graduation logistics

Prepare and manage run-of-show documents for key program moments

Track attendance, participation standards, and learner progress

Maintain issue and escalation logs and coordinate follow-up actions

Lead internal program check-ins to ensure alignment across instructors, coordinators, and support staff

Ensure instructional teams have the information and materials needed to deliver effectively

Maintain compliance and documentation hygiene, version control, and standardized folder structures and comp

Produce weekly reports

Prepare closeout reporting inputs and documentation

Identify operational risks early and support mitigation efforts

Contribute to continuous improvement by documenting lessons learned and recommendations
Requirements
-
3+ years experience in program coordination, operations, or project management

Strong organizational skills and attention to detail

Ability to manage multiple programs and competing priorities simultaneously

Clear written and verbal communication skills

Comfort working with trackers, templates, and SOP-driven workflows

Experience in education, workforce development, training, or nonprofit environments
