Role
We are seeking a Program Manager with 3–6 years of experience in program management, delivery operations, and project coordination to strengthen our US delivery operations. The role will focus on staffing, resource planning, scheduling, and operational coordination across multiple projects, with the opportunity to grow into senior program management responsibilities as the company scales.
This position is primarily internal-facing, ensuring efficient staffing allocation, workload balancing, and schedule optimization across delivery teams, with potential to expand into client-facing program management for select projects. The role also offers opportunities to contribute to enterprise-level initiatives, including marketing program management, sales enablement projects, recruitment programs, and corporate event planning.
Key Responsibilities
Staffing Resource Management
- Manage resource allocation across multiple concurrent projects, balancing capacity planning, workload distribution, and project requirements.
- Maintain and publish weekly staffing schedules, utilization reports, and capacity forecasts for leadership review.
- Track team bandwidth, identify resource constraints, and forecast staffing needs to prevent conflicts or overload.
- Partner with HR, talent acquisition, and recruiting teams to address and close resource gaps.
Program Delivery Support
- Support the end-to-end delivery lifecycle from project initiation and planning through execution, monitoring, and closeout.
- Monitor project status, track KPIs and performance metrics, and surface risks early with data-driven recommendations.
- Develop, standardize, and enforce process documentation, SOPs, and scheduling frameworks.
- Collaborate with the VP of Delivery to ensure on-time project delivery and alignment with organizational objectives.
Operational Coordination
- Drive adoption of Microsoft 365 tools (Excel, Teams, SharePoint, Power BI) for collaboration, scheduling, and reporting.
- Research, evaluate, and implement new software tools, automation, and process improvements to enhance visibility and reporting.
- Create and maintain dashboards, templates, trackers, and Gantt charts to monitor staffing, utilization, and project milestones.
Growth Cross-Functional Program Management
- Develop into a leadership role within the program management office (PMO), including mentorship, process ownership, and standards development.
- Lead cross-functional initiatives beyond delivery projects, including marketing campaigns, sales operations programs, recruitment drives, and conference management.
- Manage client-facing programs for strategic accounts as experience grows.
Qualifications
- 3–6 years of experience in program management, delivery operations, or project coordination.
- Proven experience in resource management, workforce planning, and capacity forecasting.
- Proficiency with Microsoft 365 suite and ability to integrate additional tools and workflows for operational efficiency.
- Strong skills in project scheduling, workload balancing, and milestone tracking.
- Excellent communication, stakeholder management, and cross-functional collaboration skills.
- Process-oriented thinker with the ability to design, refine, and implement scalable frameworks.
- Certifications such as PMP, CSM, PRINCE2, or Agile/Scrum Master are a plus, but not required.
