Program Manger, Alumni Chapters

The Program Manager, Alumni Chapters supports the Cal Alumni Association's nationwide network of more than 50 alumni chapters. This role provides administrative, programmatic, and operational support to strengthen alumni engagement and connection to UC Berkeley. The Program Manager coordinates communications, maintains compliance records, supports volunteer leaders, and assists with planning and executing chapter events and initiatives.

The Program Manager serves as the primary liaison between volunteer chapter leaders, CAA staff, campus partners, and internal teams, ensuring chapters have the resources, support, and guidance needed to represent CAA effectively in their local communities. The role requires strong organizational skills, attention to detail, and the ability to manage multiple programs and partners in a dynamic environment. Occasional evening and weekend work is required.

RESPONSIBILITIES:

Program Administration & Operations

  • Oversee daily operations of the alumni chapters program, including managing the general phone line, shared inbox, and correspondence.
  • Administer the Chapter Grant Program, including reviewing applications, processing reimbursements, and collecting reports.
  • Track and maintain chapter compliance with CAA charter requirements, policies, and documentation.
  • Provide logistical, administrative, and operational support for chapter events, meetings, and initiatives.
  • Develop and maintain departmental records, filing systems, organizational tools, and program documentation.
  • Contribute to program planning, workflow improvements, and operational strategies to strengthen chapter engagement and program effectiveness.

Data, Marketing & Communications

  • Support chapter leaders in using CAA-approved tools for communications, event planning, and data management.
  • Manage chapter-related digital and marketing communications, including the monthly Chapters Newsletter.
  • Maintain and update chapter webpages, event listings, and partner content on the CAA website and the Berkeley Calendar.
  • Collect and report chapter event data, leadership updates, and membership information to the CAA data team.
  • Oversee updates to the Chapter Grant Program guidelines, webpage content, and associated materials.
  • Order, track, and maintain chapter event supplies, branded items, and promotional materials.

Volunteer & Event Support

  • Build and maintain strong, positive relationships with chapter leaders by providing training, support, guidance, and resources.
  • Assist volunteers in planning and executing alumni events, including regional gatherings, special programs, and leadership meetings.
  • Serve as liaison between chapter volunteers, CAA staff, and campus partners to ensure strong coordination and alignment.
  • Support volunteers in strengthening local alumni communities through events, outreach, and communications.

QUALIFICATIONS:

  • Minimum 3–5 years of administrative, program coordination, volunteer management, or related experience.
  • Strong interpersonal and communication skills with the ability to support diverse communities and volunteer groups.
  • Excellent written, verbal, and editing skills.
  • Proficiency in Microsoft Office, Google Suite, and willingness to learn CRM and event platforms.
  • Strong organizational and multitasking skills with excellent attention to detail.
    Flexibility to work occasional evenings and weekends.
  • Ability to lift or move up to 25 pounds.
  • Must successfully complete background and consumer report checks.

QUALIFICATIONS:

  • Bachelor's degree.
  • Experience working with volunteers or alumni engagement programs.
  • At least 2 years of experience in event planning, customer service, or volunteer coordination.
  • Familiarity with UC Berkeley and the Cal Alumni Association.
  • Knowledge of alumni relations or nonprofit program administration best practices.

Compensation

This position is classified as an at-will, full-time, exempt position. Pay range is $75,000-$92,500 annualized. This position is eligible to participate in healthcare benefits, and a retirement plan with company match. Health Care Benefits:

  • CAA employees are required to contribute 10% of their total medical premium for the employee and 20% for any eligible dependents.
  • CAA pays 100% of the premiums for Dental and Vision benefits for the employee and any eligible dependents.

Paid Time Off Benefits:

  • Vacation: 16 days/year for first 2 years of service, 18 days/year after completing 2 years of service, 21 days/year after completing 5 years of service.
  • Sick time: 12 days/year
  • Holidays: 11 total per year
  • Paid time off between Dec 26 and Dec 31
  • Birthday Holiday: 1 Day off
