Position Summary
The Document Services Operations Manager is responsible for overseeing all aspects of document processing operations, including preparation, scanning, indexing, and quality assurance. This role ensures operational efficiency, compliance, and team performance in a high-volume, deadline-driven environment. The manager will lead process improvements, manage resources, and maintain service-level agreements to support organizational goals.
Key Responsibilities
Operational Leadership
- Supervise and coordinate daily document services activities, ensuring productivity and accuracy.
- Develop and implement workflow strategies to optimize throughput and reduce errors.
- Monitor KPIs and production metrics, reporting performance to senior leadership.
Team Management
- Train, coach, and evaluate team members to maintain high standards of quality and efficiency.
- Foster a culture of continuous improvement and accountability.
- Manage scheduling, workload distribution, and resource allocation.
Process & Quality Control
- Oversee document preparation, scanning, indexing, and fulfillment processes.
- Implement quality assurance protocols to ensure compliance and data integrity.
- Troubleshoot operational issues and coordinate technical support when needed.
Compliance & Security
- Ensure adherence to company policies, industry regulations, and confidentiality standards.
- Maintain secure handling of sensitive documents and data.
Inventory & Equipment Management
- Manage document inventory and material flow.
- Oversee maintenance and performance of cutting equipment and high-speed scanners.
Qualifications
- Bachelor’s degree (BA) in Business Administration, Operations Management, or related field required.
- 3+ years of experience in operations, production management, or document services.
- Strong leadership and team management skills.
- Familiarity with scanning equipment, indexing software, and inventory systems.
- Proficiency in Microsoft Office and data entry systems.
- Ability to lift and move materials up to 40 lbs.
Skills
- Experience with commercial cutting equipment and document management systems (DMS).
- Knowledge of Lean, Six Sigma, or other process improvement methodologies.
- Previous experience in high-volume production or fulfillment environments.
Work Environment
- Fast-paced, deadline-driven setting.
- Requires standing for extended periods and handling physical materials.
- Use of personal protective equipment (PPE) as required.
