Operations Manager in Poulsbo

Job DescriptionJob Description

We’re an established crane and heavy-equipment service company looking for an Operations Manager who enjoys being involved, solving problems, talking with customers, and keeping a busy operation organized.

This is a hands-on, customer-facing role. You’ll help coordinate crews and equipment, keep jobs moving, stay in close contact with customers, follow up on opportunities, and make sure important details don’t get lost between the first phone call and the completed job.

If you like having responsibility, knowing what’s happening across the business, and being someone people can count on, this could be a great fit.

What Your Day Might Look Like

You start the morning making sure crews and equipment are lined up for the day.

A customer calls about a project next week. Another needs to move tomorrow’s start time. A piece of equipment needs attention before its next assignment. One of your regular customers mentions another project coming up.

You adjust the schedule, keep everyone informed, follow up on the new opportunity, and make sure nothing gets forgotten.

Not every day will go according to plan. We’re looking for someone who is good at building the next plan when it doesn’t.

What You’ll Do

  • Coordinate daily scheduling and dispatch of crews and equipment
  • Keep track of active, upcoming, and tentative work
  • Match available people and equipment with customer needs
  • Communicate job details, schedules, changes, and priorities to field personnel
  • Work closely with management and maintenance regarding equipment availability
  • Identify scheduling conflicts early and help find practical solutions
  • Answer incoming customer calls and service inquiries
  • Talk with customers about upcoming projects and service needs
  • Gather the information needed to turn an inquiry into a workable job
  • Follow up on quotes, customer requests, and open opportunities
  • Stay in contact with existing customers and help develop repeat business
  • Build relationships with customers rather than simply taking orders
  • Keep customer, job, and opportunity information organized in company systems
  • Help move opportunities from the first phone call to scheduled work
  • Coordinate between customers, field personnel, maintenance, office staff, and management
  • Make sure completed job information reaches the office for billing and closeout
  • Help improve scheduling, dispatch, CRM, communication, and operational processes
  • Bring accountability and follow-through to the things that need to get done

This Role Is About More Than Dispatch

Dispatch is an important part of the job, but we’re looking for someone who wants to understand the whole operation.

A customer calling today may have one job, or they may become a customer for years.

We want someone who understands the value of following up, communicating well, and building strong working relationships.

You do not need to be a traditional salesperson. You do need to like working with people, communicate confidently, follow through, and understand that great service is often what brings customers back.

This is an inside, office-based role. Customer communication and business development will primarily happen by phone, email, and through company systems.

Who We’re Looking For

We care about experience, but we also care about how you operate.

You’re probably a strong fit if you’re the person who:

  • Notices problems before someone has to point them out
  • Actually calls people back
  • Can handle several moving priorities without losing the details
  • Communicates directly and professionally
  • Stays calm when the schedule changes
  • Likes solving problems instead of passing them along
  • Can work effectively with both customers and field employees
  • Takes ownership of something once it lands on your desk
  • Wants to understand how the whole business works
