Role summary
Plan, direct, and coordinate day-to-day operations across a small, multi-functional private sector organization. The Operations Manager will ensure internal systems run smoothly, coordinate with external vendors (HR, finance, printing, IT, fulfillment), and support strategic initiatives led by the CEO. This role requires a hands-on, solutions-oriented leader who can move between project management, vendor oversight, HR coordination, and basic financial planning without being limited to a single functional silo.
Key responsibilities
• Oversee daily operational workflows and ensure cross-departmental coordination.
• Serve as primary liaison with external vendors for HR, finance, printing, IT, and fulfillment.
• Manage project timelines and deliverables for CEO-led strategic initiatives.
• Act as first-level escalation for IT and website issues; coordinate resolution with vendors and handle basic IT tasks (printer setup, network troubleshooting, security updates).
• Support HR coordination activities including onboarding, offboarding, and vendor-managed benefits processes.
• Assist with financial planning tasks such as cash-flow monitoring, vendor invoicing workflows, and budgeting support.
• Maintain and optimize internal systems and digital platforms; ensure documentation and SOPs are current.
• Monitor vendor performance, negotiate service levels, and maintain vendor contracts and records.
• Coordinate virtual meetings across multiple time zones and manage concurrent digital platforms.
• Provide occasional on-site support for onboarding, equipment setup, and other operational needs.
