About Us

Vintage Floors + Finishes is a rapidly growing flooring and interior surfaces company serving customer home builders and discerning homeowners across North Texas. We pride ourselves on integrity, craftsmanship, and a team-first culture.

We are looking for an Operations Manager to lead our back-office team and serve as the critical link between sales, scheduling, and installers. This is a player-coach role: you’ll manage people and processes and jump in to help get work done every day. We need a builder vs. maintainer.

Key Responsibilities

• Lead & develop a back-office operations team

  • Supervise and coach purchasing, A/P and warehouse staff.

  • Set clear expectations, KPIs, and hold the team accountable.

  • Identify areas we can improved our processes and systems - then create and implement the improvements

   

• Scheduling & job coordination

  • Own the install schedule and create the work orders – coordinate dates between sales reps, warehouse, and installers.

  • Ensure your team is properly staging materials, PO’s, and work orders before install.

  • Proactively resolve scheduling conflicts and communicate changes quickly.

   

• Sales support & job progress

  • Partner with the sales team daily to move jobs from “sold” to “installed & invoiced.”

  • Track job status and follow up on open items (measures, materials, change orders, punch lists).

  • Provide timely updates to sales reps and leadership on job progress and issues.

   

• Financial & vendor coordination

  • Work closely with CPA firm to ensure vendors and taxes are paid on time.

  • Help manage purchase orders, invoices, and receipts for accuracy and completeness.

  • Assist with month-end processes related to revenue recognition and work-in-progress.

   

• Systems & process management

  • Use NetSuite daily to manage orders, scheduling, purchasing, and reporting.

  • Help design and enforce standard operating procedures (SOPs) for operations tasks.

  • Identify bottlenecks and recommend improvements to increase throughput and accuracy.

   

• Hands-on support

  • Jump in where needed: data entry, scheduling calls, customer follow-up, or problem-solving with installers or vendors.

  • Serve as a steady, calm point of contact when issues arise in the field or with customers.

   

Qualifications

• 5 years of operations or office management experience, ideally in:

  • Construction, flooring, trades, or a similar scheduling-heavy environment.

• Demonstrated “player-coach” leadership style:

  • Comfortable managing people and rolling up your sleeves to help with daily tasks.

   

• Strong experience coordinating between sales teams, field crews/installers, and back-office staff.

• Proficiency in NetSuite (required)

• Excellent organization, follow-through, and attention to detail.

• Bachelor's degree in Business or related field

• Strong written and verbal communication skills; able to communicate clearly with internal teams, vendors, and installers.

• Comfortable working in a fast-paced, high-volume environment with shifting priorities.

• High level of integrity, reliability, and discretion with financial and operational information.
