Operations Manager/Executive Assistant - Interior Design

We are seeking a highly organized, detail-oriented, and proactive Operations Manager / Executive Assistant for a top-rated interior design firm in Manhattan. This dual-role position will support both the day-to-day operations of the firm and provide direct administrative assistance to the Principal Designer and design team.
Position Overview:
The Operations Manager / Executive Assistant will oversee the smooth running of business operations, ensuring efficiency, organization, and accountability across the firm. This person will act as the right hand to the Principal Designer, providing executive-level support while also managing internal processes, vendor relationships, client communications, and office operations. The ideal candidate is a self-starter who thrives in a fast-paced, creative environment and has experience supporting executives and/or managing small business operations.
Key Responsibilities:
Operations Management:

Oversee day-to-day business operations to ensure efficiency and productivity.

Manage office administration, including supplies, vendor contracts, and office systems.

Assist with bookkeeping tasks, invoices, and expense tracking in coordination with accounting.

Support project management functions by tracking timelines, budgets, and deliverables.

Develop and implement operational processes to streamline workflows across the team.

Ensure compliance with company policies and procedures.
Executive Support:

Provide high-level administrative support to the Principal Designer, including calendar management, scheduling, and travel arrangements.

Act as a liaison between the Principal and clients, vendors, contractors, and staff.

Draft, proofread, and manage correspondence, proposals, and presentations.

Maintain confidentiality and discretion in all aspects of the role.
Client & Vendor Relations:

Maintain strong professional relationships with clients, vendors, and contractors.

Coordinate project-related logistics, deliveries, and scheduling.

Assist in preparing client presentations, mood boards, and other materials as needed.
Qualifications:
-
Bachelor’s degree in Business Administration, Communications, or related field .

3+ years of experience in operations management, executive assistant, or business administration role (experience in a design/creative industry highly ).

Strong organizational skills with the ability to multitask and prioritize effectively.

Excellent written and verbal communication skills.

Proficiency in Microsoft Office Suite, Google Workspace, and project management software (e.g., Studio Designer, Asana, or similar).

Financial acumen with basic knowledge of bookkeeping and budgets.

Professional, polished demeanor with a proactive and flexible attitude.

Passion for design and an understanding of the interior design industry is a plus.
