Title: Operations Manager for Busy Orthopedic Practice
Supervision Received: Practice Administrator
The Operations Manager oversees the daily administrative and operational aspects of the practice, ensuring smooth and efficient operations while maintaining high-quality patient care and compliance. They manage staff, coordinate patient flow, oversee billing and insurance processes, and implement policies to optimize workflows. Strong organizational, multitasking, and communication skills are crucial for this role.
Key Responsibilities:
****Must have Orthopedic Experience****
Staff Management:
Hiring, training, scheduling, and performance management of administrative and clinical staff, including medical secretaries, call center, front desk, medical assistants, and billing personnel.
Workflow Optimization:
Ensuring efficient patient flow, managing appointment scheduling, and streamlining administrative processes to minimize wait times and maximize productivity.
Financial Management:
Overseeing billing and coding, managing accounts receivable, and preparing financial reports.
Compliance:
Ensuring adherence to all relevant healthcare regulations, including HIPAA, and implementing policies to maintain compliance.
Patient Experience:
Improving the patient experience through efficient communication, streamlined processes, and a positive environment.
Facility Management:
Coordinating maintenance, ordering supplies, and ensuring a safe and functional workspace.
Reporting and Analysis:
Preparing regular reports on key performance indicators (KPIs), analyzing data, and identifying areas for improvement.
Policy and Procedure Development:
Creating, implementing, and updating practice policies and procedures to ensure consistency and efficiency.
Required Skills and Qualifications:
- Bachelor's degree: in business administration or a related field.
- Prior experience: in healthcare management, preferably in an orthopedic setting, is highly desired.
- Strong leadership and communication skills: to effectively manage staff and interact with patients and Providers
- Proficiency in medical billing and coding: and understanding of relevant healthcare regulations.
- Excellent organizational and multitasking abilities: to manage a busy practice environment.
- Analytical skills: to interpret data, identify trends, and implement improvements.
- Proven experience managing a team of 30 to 50 employees in a fast-paced environment
- Familiarity with electronic health records (EHR) systems.
