Overview:
We are seeking a detail-oriented and proactive Office Manager to join our team. This individual will play a key role in maintaining a smooth and efficient office environment while managing a variety of tasks related to office operations, including minor event planning, facility management and office moves, across our portfolio. The ideal candidate will be organized, adaptable, and capable of managing multiple responsibilities in a fast-paced environment. This role is New York metro area based but will have responsibilities across the organization’s footprint. Limited travel may be required.
Key Responsibilities:
- Office Operations & Administration:
- Oversee daily office functions, ensuring the workplace runs efficiently and comfortably.
- Manage office supplies and equipment, including inventory, purchasing, and maintaining stock.
- Serve as the point of contact for vendors, contractors, and service providers related to office maintenance, supplies, and services.
- Need to add about security
- Minor Event Planning:
- Assist with the planning and execution of small to medium-sized office events, meetings, and employee engagement activities.
- Coordinate logistics, catering, and materials for internal events, celebrations, or company-wide meetings.
- Ensure event budgets are adhered to, and events are executed seamlessly.
- Facility Management:
- Manage the upkeep and cleanliness of office facilities, working closely with cleaning services and maintenance personnel.
- Coordinate facility-related tasks, including repairs, maintenance, and safety measures to ensure a safe and comfortable workspace for employees.
- Track and report issues and work with vendors to resolve problems in a timely manner.
- Coordinate with the organization’s security team, for general office and inter-office events coverage.
- Office Moves, Adds, Changes (MAC):
- Coordinate office moves, workspace setups, and reconfigurations (e.g., adding or removing desks, adjusting seating arrangements).
- Ensure smooth transitions during office relocations, including working with IT, facilities, and HR teams for timely execution.
- Monitor the status of all office changes and communicate any disruptions to team members to ensure minimal disruption.
Qualifications:
- Bachelor's degree or equivalent work experience.
- Minimum of 5-7 years of experience in office management or a similar role.
- Experience with small interoffice event planning, facility management, and office moves.
- Strong organizational and time management skills.
- Ability to handle multiple tasks with strong attention to detail and efficiency.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong communication and interpersonal skills.
- Ability to work independently and as part of a team.
- Problem-solving skills with a proactive and solution-oriented approach.
Skills:
- Experience with vendor negotiation and contract management.
- Experience with inventory management and merchandising.
- Familiarity with project management tools or software.
