The Operations Manager at Legacy Legal, LLC is the leader responsible for overseeing the firm’s internal operations. This position is focused on organizing people, systems, and priorities to create a more efficient and scalable business. The role works closely with the owner to remove operational responsibilities from his plate, allowing him to focus on short-term revenue and long-term strategic growth. The Operations Manager is expected to identify gaps, implement structure, and build the infrastructure necessary for the firm to scale beyond the owner's direct involvement in day-to-day execution.
More so than any other employee, the Operations Manager focuses on the inner-workings of the business, as opposed to providing direct service to clients. The responsibilities of the Office Manager will shift, expand, contract, and/or change as the company grows, as additional opportunities and needs are identified, and as the team develops.
Compensation:
$50,000 - $65,000 yearly
Responsibilities:
Strategic Operations
- Build and maintain systems that support firm growth and improve internal efficiency.
- Own the implementation and upkeep of firm-wide tools like Accelerator Pro for KPI tracking and performance reporting.
- Monitor key business metrics, identify bottlenecks, and support performance improvements throughout the team.
- Coordinate and lead operational projects such as new hire onboarding, vendor transitions, and marketing event logistics.
Administrative & Office Management
- Manage vendor relationships and serve as the primary liaison for external service providers.
- Oversee internal administrative processes, including payroll, 401(k), insurance, and compliance-related tasks, in coordination with third-party vendors.
- Ensure smooth office operations including equipment, systems, and IT coordination for new and existing team members.
Team Leadership & Support
- Create and maintain job descriptions, SOPs, and firm-wide operational workflows.
- Lead team meetings and establish a rhythm of communication including daily huddles, weekly stakeholder check-ins, and monthly metrics reviews.
- Support the owner in executing the firm’s growth strategy by identifying operational inefficiencies and implementing sustainable solutions.
- Lead other staff members through change and towards their own elevated future performance.
- Lead through delegation to other staff members.
Qualifications:
Ideal Candidate Qualifications
- 3–5+ years of experience in operations, office management, or business administration (law firm or professional services ).
- Strong project management skills with an eye for systematizing and streamlining business processes.
- Excellent interpersonal communication and team coordination abilities.
- Familiarity with business metrics, KPI dashboards, and other performance tracking tools.
- Tech-savvy and comfortable adopting new software and tools.
- Highly self-motivated, organized, and solutions-oriented.
Success Profile
A successful Operations Manager at Legacy Legal will:
- Maintain clear visibility into day-to-day operations and act as the internal “air traffic controller” for the firm.
- Lead internal initiatives and projects to successful, on-time completion.
- Ensure that all recurring workflows and roles have clear documentation and ownership.
- Serve as a strategic partner to the owner, gradually shifting operational burden off their plate and enabling firm-wide scalability.
