Summary:

The Operations & QA/QC Analyst will support facility operations, fleet management analytics, mobile phone data oversight, and Quality Management System (QMS) documentation. While IT will manage all physical phone hardware and support, this role will analyze usage, cost data, and carrier reports for optimization opportunities. This position is critical in ensuring facilities run smoothly, operations remain compliant, and internal processes are continuously improved using QA/QC principles. Job Responsibilities:

Building & Facility Operations

  • Support tracking and scheduling of building maintenance (interior/exterior, HVAC, mechanical systems).
  • Assist in documenting and improving warehouse operations and facility-related processes.
  • Coordinate with 3rd-party vendors for services and repair invoicing.
  • Support capital planning through tracking of maintenance needs and vendor quotes.
  • Partner with Safety Manager on building safety and emergency preparation compliance.

Fleet Management Analytics

  • Monitor fleet usage reports and identify trends for maintenance, retirement, or procurement planning of fleet assets.
  • Track and analyze GPS and service data through Verizon Connect and other platforms.
  • Provide fleet-related reporting to identify cost drivers, inefficiencies, and compliance gaps.
  • Support policy compliance with gas cards, rentals, and service scheduling (coordination only).
  • Partner with internal stakeholders to ensure vehicle-related documentation and inspections remain up to date.

Mobile Phone Program (Data Oversight Only)

  • IT will have phone procurement, asset lifecycle, and support.
  • Analyze phone usage data and carrier reports to optimize data plans and costs.
  • Audit carrier invoices monthly for accuracy and flag discrepancies for AP.
  • Monitor departmental phone allocation trends and recommend usage policies as needed.

Quality Management System (QMS)

  • Maintain and update internal QMS documentation to reflect current operations and process changes.
  • Work with functional groups to create, edit, and align SOPs, procedures, and policy documentation.
  • Apply QA/QC best practices to improve the quality and consistency of internal workflows.
  • Identify gaps in documentation, collaborate on resolution, and track corrective actions.
  • Promote a culture of continuous improvement through process feedback loops.

Requirements:

  • Self-starter with strong interpersonal and communication skills
  • Proficiency in Microsoft Excel, Outlook, Word, and PowerPoint
  • Strong organizational and documentation skills
  • Familiarity with QA/QC methodologies and process improvement practices (certification not required)
  • Ability to analyze operational data (fleet, phones, vendor invoices) and produce actionable insights
  • Basic understanding of vehicle terminology and fleet management principles
