The Operations Manager plays a pivotal role in supporting the Director of Operations across all aspects of internal operations, team engagement, communication, and organizational efficiency. Acting as a right hand to the Director, this position is deeply embedded in the day-to-day pulse of the organizationinteracting regularly with every employee within the Company, supporting Finance and Operations functions (including HR), and ensuring seamless communication internally and with external vendors.


Key Responsibilities:

Operations & Administrative Leadership:

  • Serve as the everyday operational support staff to the Director of Operations.
  • Coordinate cross-functional initiatives across Finance, HR, Operations, and Technical Services.
  • Support the Employee Engagement and Culture Manager with initiatives and logistics.
  • Organize and maintain key operational systems and tools, including Microsoft Office.
  • Supervise operations staff or project-specific task teams, as needed.
  • Draft, edit, and distribute internal communications on behalf of the Senior
    Leadership Team.
  • Manage global communications tools (email updates, internal bulletins, org-wide announcements).
  • Coordinate with third-party vendors such as IT support providers, software partners, and consultants, as needed.

Process Development & SOP Management:

  • Write, edit, and roll out standard operating procedures (SOPs) across departments.
  • Develop tools and other materials in support of training and implementation of procedures.
  • Facilitate team trainings to ensure smooth adoption of new tools and processes.
  • Continuously assess existing workflows and procedures for improvement opportunities.

Project Management & Special Initiatives:

  • Jump into special projects as assignedranging from strategic planning support to event coordination.
  • Maintain project trackers and timelines to ensure team accountability and follow-through.
  • Solve logistical problems with creativity and resourcefulness.



Qualifications

  • Bachelors Degree or equivalent experience required; degrees in Business Administration, Organizational Leadership, Communications, or related field .
  • 5+ years of relevant experience in operations, administration, or internal communications, ideally in a cross-functional or support-to-executive role.
  • Demonstrated experience establishing and documenting procedures, and training staff across a wide range of roles and experience levels.
  • Strong understanding of or experience with change management principles and practices.
  • Excellent verbal and written communication skills; able to convey information clearly and professionally to diverse audiences.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook). Experience with SharePoint is a plus.
  • Outstanding organizational skills with a strong attention to detail and follow-through.
  • Ability to work in a hybrid environment, including on-site presence at the Walnut Creek office approximately two days per week.
  • Proven ability to build positive, effective relationships at all levels of an organization.
  • Strong judgment, professionalism, and discretion.
  • A no-job-too-small mindset and a proactive approach to problem-solving.
  • Experience working in A&E consulting environments is .
  • Member of the Senior Leadership Team, expected to model and reinforce the companys values, contribute to strategic initiatives, and represent cross-functional operational needs at the leadership level. Participate in senior leadership initiatives, providing strategic input on the direction and growth of Sequoia.
