Job Summary:
The Operations manager shall be responsible for general supervision of programs implementation and operations, establishing networks and managing relationships with various like-minded agencies and organizations. This position will ensure quality assurance, documentation, service delivery, and reporting ofall service programs. This position will be responsible for continuous process improvements, hiring and training volunteers, performing outreach, revenue, grants, marketing, and seasonal events such as winter drives and improve overall operations efficiency.
Essential Responsibilities:
- Research and reach out to centers (such as Islamic centers and Churches), likeminded organizations, and other resources to establish long-term relationships and partnerships.
- Conduct site visits: research, schedule, prepare, document/report. Attend donor events and luncheons, as applicable.
- Prepare and present written proposal summaries, analyses, and recommendations for the Area Manager and Regional Director.
- Communicate, coordinate, collaborate and cooperate with the Service Program Directors Manage day to day work of all the service programs under guidance of the Area Manager and Regional Director
- Organize banquets, fundraisers, and other special events of service programs.
- Implement and ensure ongoing compliance with all operational policies, procedures, and training across the field office and staff, especially volunteer management.
- Provide briefings and updates to the management on a timely basis and attend meetings. Serve as a liaison between ICNA Relief and grantors, responding to inquiries and providing documents.
- Responsible for accurate data collection, documentation, record keeping and providing timely reports on programming services.
- Work closely with Revenue and Marketing departments.

- Ensure operational activities remain on time and within a defined budget.
- Ensure all new hires are properly onboarded and oriented towards the mission, vision, and values of ICNA Relief
- Manage timely data collection to update operations metrics to achieve productivity targets, reduce costs per unit, eliminate errors, and deliver excellent customer service. Ensure operations records are kept as per standard operating procedures to ensure consistency, predictability and efficiency, and documentation is accessible when something needs to be located, thereby speeding up operational efficiency.
- Support materials and inventory management.
- Assist with special projects.
- Provide coverage and back up for other administrative tasks and grants administration, as needed.
- Other duties as assigned by the manager.
Position Type/Expected Hours of Work:
Must be available and attend office during the core work hours from 9:00 a.m. to 6:00 p.m. during business days. Evening and weekend work may be required as an integral part of the job based on the nature of the role and its responsibilities.
Travel Requirements:
ICNA Relief is a organization with operations across various states, therefore the candidate must be willing and prepared to travel for official work/assignment at 24-hour notice whenever needed.
Transportation
As employees of ICNA Relief you may be required, at times, to drive the organizations' vehicle and are hence required to have a clean traffic record with no outstanding citations as you will be representing ICNA Relief.
