Requirements
We are looking for an Operations Admin who will support the management of Wastewater Treatment Plants with the goal of delivering every project on time, within budget and within scope. This role will help manage equipment and resources on AUC’s field sites working closely with the Project Managers, and Field Supervisors.
Essential Duties and Responsibilities include the following:
· Helping report and track the per diems for crews on their out-of-town jobs
· Manage hotel reservations through CLC (and other accounts).
· Creating & sending out inspection forms
· Will research supplier invoices within the company accounting and ERP system.
· Setting up/cancelling porta-cans for field sites
· Gathering information to complete and submit the job info forms.
· Requesting tax exemption forms from clients for projects
· Scheduling material deliveries on field sites to ensure crews have the resources needed to build each project
· Prepares weekly status project reports
· Update and track project sheets and forms
· Working with Field Service Manager, and Field Supervisors to manage the fleet of equipment (cranes, forklifts, work trucks), and help track and schedule preventive maintenance in the system
· Will work closely with Project Coordinators and Project Managers to manage inventory needs, and help coordinate the resources needed by Field Supervisors on job-sites
· Will put together weekly client update communications with pictures, and detailed reports received from the Field Supervisors.
· Other duties as assigned.
Requirements:
Qualification/Requirements:
- Excellent internal & external communication skills – both written and verbal.
- Experience with Fleet Management and scheduling and tracking preventative maintenance.
- Solid organizational skills including attention to detail and multi-tasking skills.
- Strong working knowledge of Microsoft Office required; Adobe Acrobat Pro experience .
- Ability to work well independently as well as in a team environment.
- Behave Ethically: Understand ethical behavior and business practices and ensure that own behavior and the behavior of others is consistent with these standards and aligns with the values of the organization.
- Communicate Effectively: Speak, listen and write in a clear, thorough and timely manner using appropriate and effective communication tools and techniques.
- Ability to work hybrid schedule (2 set days in the office required every week).
- Ability to sit for long periods of time using a phone and computer.
Education/Experience:
- University degree . Experience in Project Administration or in a similar industry is a plus.
- Bilingual and able to read, write and speak Spanish proficiently is strongly .
