We are a full-service accounting and tax advising firm that provides top-tier service to clients. We operate with the same entrepreneurial and capitalist principles as our clients, with a primary focus of getting their taxes as close to zero as possible while handling anything tax and accounting on their behalf. Business is booming and we are now accepting applications from candidates with prior experience at accounting and/or tax firms to join the team as an Operations and Administrative Manager.
The Role:
We’re looking for an effective and high agency Operations and Administrative Manager -- with a strong preference for prior experience at an accounting or tax firm -- that thrives on organization, optimizing internal processes and systems, and believes that a successful business depends on well-oiled 'front office' and 'back office' operations. Crushing it in your role supports the success of both our team and our clients. Fully in-office, working with the team in Irvine.
Earning Your Spot:
We believe in new hires competing to earn a spot on the team to prove they can elevate the company's work product and service to clients -- and we believe in rewarding them generously! You'll start as a contractor for the first 60 days as a "try out" period, with full time offers extended at the 60 day mark, or sooner, if you're a top performer.
If you're currently employed? You'll work 15-20 hours a week on-site at our office in Irvine, with flexible hours available. The option to jump straight in to 35 hours a week during the try out period is available for qualified candidates. We'll provide the tech stack for you to work -- think dedicated computer, monitor, any other equipment you need -- so you can showcase your abilities.
The Hiring Process Step by Step:

#2 Qualified applicants will be invited to share more information via questionnaire.
#3 After the questionnaires you'll meet with the hiring manager via video call for a live, 30 minutes skills assessment test. Complete tasks and solve problems presented by the hiring manager, all based on our tech stack and the platforms we work in every day, and show us how your skills help the business run like a well-oiled machine.
#4 Crushed the skills assessment? Final stage is a video call interview with the owner so we can hear about you and how you'll improve the team -- and how we can help you achieve your career goals.
Starting Compensation:
$1000 signing bonus payable after you crush the first two weeks at work.
New hires join the team as independent contractors at $40 - $45 hourly during the try out period, with the final hourly wage based on the value you will bring to the team. Payroll is bi-weekly and via direct deposit.
Full-time offers to join the team as a W2 employee will be made to exceptional candidates with an annual base salary of $80,000 - $90,000 and a 15% performance based bonus paid quarterly -- so total compensation with bonus will range from $92,000 to $103,500.
Core Responsibilities:

Internal administrative support to keep everyone on track: scheduling meetings and deadlines, document collection and management, and coordination of team resources.

Manage client onboarding and ongoing client relationships, addressing questions and ensuring timely communication.

Conduct research on tax-related issues to support the team’s advisory services.

Check and verify state and federal tax transcripts for accuracy and compliance.

Support the firm's AR/AP tasks and track client's monthly retainer payments to make sure all revenue is being collected.

Prepare and submit payroll for the firm in QuickBooks.

Assist with business and nonprofit entity formations, including preparing and filing necessary documents.

File authorizations and tax documents at the federal and state levels, ensuring deadlines are met.
Must Have's for New Team Members:

Dealbreaker: At least 3+ years of proven success in operations and administration.

High Agency; you identify problems or areas of improvement, evaluate the best course of action, and execute on the solution without needing advice or guidance on every little decision.

Mastery of Slack and GSuite software.

Nice to Have's:

Operations/admin experience at accounting or tax firms. You understand the various deadlines to manage, common industry tasks and requests, are familiar with tax and accounting principles and terminology.

Experience with state and federal tax and business related forms and filings; forming LLCs, managing Registered Agent services, getting EINs from the IRS website and checking IRS tax transcripts, efiling Form 8821s, etc.

Experience working in Karbon and QuickBooks Online.
