Job Description:
As an Office/Operations Assistant, you will play a crucial role in our business's smooth and efficient operation. This position requires excellent communication skills, attention to detail, and the ability to manage various tasks simultaneously. Your primary responsibilities include high-volume phone work, data entry, compliance management, timesheet calculations and verifications, and critical thinking in a fast-paced environment.
Key Responsibilities:

Critical Thinking: Solve problems, make informed decisions, and proactively address issues that may arise in daily operations with little supervision. It is important to be able to self-motivate through your day and the responsibilities that pop up along with your daily tasks.

Phone Work: Handle inbound and outbound calls with professionalism and courtesy. Assist candidates and clients with inquiries, compliance, fielding calls accurately, and general support.

Data Entry: Accurately enter and maintain candidate and client information in our database. Ensure data integrity and confidentiality.

Compliance Management: Ensure that all regulations are followed and perform audits on active candidates. Help maintain compliance records and documentation while staying on top of the ongoing updates to the laws and requirements. Researching the requirements and laws as the company moves into new territories and states.

Math Calculations: Perform calculations related to compensation, hours worked, facility requirements, and other quantitative aspects of staffing operations.

Support Team: Collaborate with our team to provide exceptional service to candidates and clients. Working independently but as part of a team with open communication. Assist in various administrative tasks as needed.
- Outreach to Outside Entities: Contact external sources to obtain necessary information, such as references and employer verifications, to ensure candidate qualifications.

Marketing Research: Conduct research on industry trends and competitors to support our marketing efforts and improve our services.

Job Fair Preparation: Assist in the planning and preparation of job fairs and recruitment events, including logistics, materials, and candidate engagement.

Computer Knowledge: Utilize computer skills to navigate staffing and data management software and systems. A working knowledge of Adobe Acrobat, Adobe Sign (DocuSign), and Microsoft Office programs such as Excel, Word, Outlook, and Sharepoint.

Technical Support: Provide basic technical support with computers, phones, copier/fax machines, and software programs to team members and candidates as needed, troubleshoot common issues, and escalate complex technical problems to the appropriate personnel.
- Additional Support: Provide assistance with special projects, tasks, and errands, as needed when requested.
Qualifications:
- High school diploma or equivalent; college degree or relevant coursework is a plus.
- Strong communication skills, both written and verbal.
- Proficiency in data entry and computer applications.
- Ability to handle a high volume of phone calls professionally and multitask effectively.
- Attention to detail and strong organizational skills.
- Influential Critical thinking and problem-solving abilities.
- Knowledge of how to research and obtain information regarding regulations and best practices.
- Positive attitude and a willingness to learn quickly and grow within the company.
- Self-motivated and a Team Participant
- Proficiency with MS Office (Excel, Word, Outlook) and Adobe
- Always punctual and reliable for a full-time schedule 8:30am to 5:00pm Monday - Friday in person.
