New Construction & Installation Coordinator

Location: Batavia, Illinois

Job Type: Full-Time, Temp to Hire

Pay: $23-$25/hr (DOE)

PrideStaff is seeking a detail-oriented Office Coordinator for a client based in Batavia, IL. In this role, you will oversee new construction projects, garage door installations, and property management accounts, ensuring seamless communication across clients, field crews, property managers, and internal staff to keep jobs running on time.

The ideal candidate will have:

• Proficiency with ServiceTitan software.
• Strong background in construction administration, including pay applications, project documentation, scheduling, and job coordination.
• Prior experience in the garage door industry is , but candidates with a solid background in home services or general construction are welcome to apply.

Key Responsibilities:

• Coordinate garage door installations for new construction, commercial, multifamily, and property management projects
• Communicate with builders, construction supervisors, property managers, homeowners, and internal installation teams
• Schedule installations, service appointments, deliveries, and return trips
• Track project timelines, job readiness, material availability, and outstanding requirements
• Prepare, submit, and track pay applications and supporting documentation
• Maintain accurate customer, project, and job information in ServiceTitan
• Review work orders and project details to confirm measurements, materials, scope, and scheduling requirements
• Coordinate with warehouse and field teams to ensure materials are available before installation
• Monitor open jobs and follow up on scheduling delays, incomplete work, change orders, or outstanding documentation
• Assist with invoicing, purchase orders, permits, lien waivers, certificates of insurance, and other project documents as needed
• Provide professional and timely communication throughout each project
• Help identify and resolve scheduling or project issues before they affect the customer or installation team

Qualifications:

• Previous experience coordinating new construction, installation, or construction-related projects
• Experience preparing or processing pay applications
• Strong scheduling, organization, and follow-up skills
• Ability to manage multiple projects and deadlines at the same time
• Strong written and verbal communication skills
• Comfortable communicating with contractors, construction supervisors, property managers, customers, and field employees
• Proficiency with Microsoft Office, email, and office management systems
• High attention to detail and accuracy

• Home service or skilled-trades industry experience
• Experience coordinating technicians, installers, or subcontractors
• Familiarity with builder accounts, multifamily projects, commercial construction, or property management work
