Job Overview
We are seeking an experienced Administrator/Medical Financial Operations Manager to lead and oversee the financial and billing operations across our healthcare practice. The ideal candidate will have deep expertise in revenue cycle management, medical billing and coding, and financial reconciliation, with a strong command of accounting software (preferably QuickBooks), advanced Excel skills, and hands-on experience with EMR systems.
This role is critical in optimizing our revenue cycle, ensuring accurate billing practices, maintaining compliance, and bridging the gap between financial systems and EMR data. Success in this position requires strong analytical abilities, attention to detail, and the capability to work collaboratively in a fast-paced environment with both staff and physicians.
Key Responsibilities
1. Team Leadership
- Supervise and support a team of billing and coding specialists across multiple office locations.
- Provide ongoing training, mentorship, and performance evaluations.
- Delegate responsibilities to ensure efficient and accurate claim processing.
2. Billing Operations
- Oversee the entire billing cycle: coding, claims submission, payment posting, and collections.
- Ensure timely and compliant submission of claims, following payer and regulatory guidelines.
- Monitor and resolve claim denials in coordination with the billing team.
3. Financial Oversight
- Utilize accounting software (preferably QuickBooks) for financial tracking and reporting.
- Reconcile EMR payment records with bank statements and deposits.
- Prepare and analyze revenue cycle reports to identify trends, issues, and areas for improvement.
- Collaborate across departments to streamline financial workflows.
4. System & Technology Management
- Manage and optimize EMR systems to support billing accuracy and documentation workflows.
- Use advanced Excel functions (e.g., pivot tables, VLOOKUP, data visualization) for reporting and analytics.
5. Compliance & Reporting
- Stay current with healthcare regulations, coding standards (CPT, ICD-10, HCPCS), and payer requirements.
- Ensure ongoing HIPAA and regulatory compliance across financial operations.
- Prepare and deliver operational and financial reports to senior management and physicians.
Qualifications
- Bachelor’s degree in Healthcare Administration, Accounting, Business, or a related field.
- Minimum 5 years of experience in medical billing, with at least 2 years in a managerial or supervisory role.
- Proficiency in QuickBooks or similar accounting software.
- Advanced skills in Microsoft Excel (pivot tables, VLOOKUPs, data analysis, etc.).
- Experience with EMR systems (e.g., ModMed, Epic, Cerner, eClinicalWorks, or similar).
- Strong understanding of CPT, ICD-10, and HCPCS coding practices.
- Excellent leadership, analytical, and communication skills.
- High level of organizational and problem-solving ability.
